Job summary

An exciting opportunity to join the Trust's Patient Safety team. The Patient Safety Administrator is a key role, supporting investigations into the most serious types of patient safety incidents.

The successful candidate will already have excellent administrative skills, be able to work on their own initiative at times and be able to prioritise work to achieve deadlines. You will work closely with a wide range of colleagues, providing efficient and confidential administration support. The role includes a wide range of administrative duties but this is an exciting time to join the team, as SWASFT has recently adopted the NHS Patient Safety Incident Response Framework (PSIRF). As such, the post holder will have the opportunity to contribute to the development of more efficient and effective administrative processes within the team.

Main duties of the job

  • Contribute to the Patient Safety function's requirements, including adherence to the Trust PSIRF Policy and national guidance.
  • Answer calls sensitively and professionally.
  • Provide a confidential service for all PSIRF learning response processes.
  • Liaise with Directors, Investigating Officers, and external parties regarding Patient Safety, using verbal and written communication.
  • Manage documentation for Patient Safety investigations and coordinate PSIRF learning response meetings, which involves booking rooms, issuing invitations and papers and arranging attendance.
  • Monitor responses to meeting invitations and manage follow-ups for non-attendance.
  • Coordinate with Investigating Officers to obtain timely reports and maintain the Patient Safety Master logs.
  • Update and circulate the Learning Response Action Plan monthly and arrange review meetings to monitor progress.
  • Maintain accurate Patient Safety records and ensure information is updated and accessible.
  • Attend meetings, take minutes, and ensure compliance with confidentiality and data protection standards.
  • Handle written communications in line with Information Governance requirements.
  • Understand the Trust's Patient Safety and Risk Management strategies.
  • Perform general office duties, including clerical support, managing diary commitments and arranging meetings.
  • Support Equality & Diversity, promoting a non-discriminatory culture and addressing behaviour that undermines these principles.
