Job summary
To deliver effective secretarial and administrative assistance to the Consultant, Medical team, and Amputee Rehabilitation service within the Rehabilitation services. This includes communicating with referrers, patients, Consultants, other Trusts, and external personnel, offering support and aid as needed to ensure the delivery of high-quality service.
Main duties of the job

- To provide the Consultant and medical team with an efficient reception service, including answering telephone queries and redirecting calls as appropriately, dealing politely and efficiently with general enquiries from staff, patients, visitors and other departments.
- - To take steps to resolve caller's complaints or concerns, communicating effectively and politely, dealing with problems as promptly and efficiently as possible.
- - To be responsible for the smooth operation of the offsite transcription service for the teams.
- - To act independently, ensuring that daily tasks and ongoing workloads are prioritised and completed in a timely manner.
- - To maintain an up to date diary for the Consultant and medical team including making appointments where appropriate and organising meetings as necessary.
- - To take and type minutes of meetings as required.
- - To open, prioritise, sort and date stamp the incoming mail and take any appropriate action that is needed.
- - To assist in the compilation of reports, teaching materials, audits as required.
- - To process test results received regarding individual patients, ensuring that departmental procedures are followed.
- - To ensure that filing is kept up to date both in patient's case notes and departmental filing systems.
- - To undertake photocopying as required.
- - To locate, collect and book patients medical records in and out of the department as required.
