Executive Assistant to Group Chair and St George's Managing Director

Job summary

The post holder will provide high quality, proactive professional administrative and business management support to the Group Chair and the Managing Director of St George's, supporting them to undertake their functions efficiently and effectively. This will include the provision of first class diary management support, email management, arranging and ensuring effective preparation for meetings, and financial management. The post holder will be responsible for ensuring that the Chair's and Managing Director's priorities and key actions are driven forward, communicating these effectively to the wider senior leadership, as well as providing an interface to staff at all levels across the Group. The postholder will support the Group Chair and Managing Director in preparation for Board, Committee and Executive meetings and will actively coordinate the engagement of the Group Chair and Managing Director with the wider South West London and Surrey systems and London region as appropriate.

Main duties of the job

  • Proactively manage the Group Chair's and Managing Director's diaries, prioritising as appropriate to ensure their time is used most efficiently and to best effect. In doing so, the postholder will need to deal with and resolve issues independently and on their own initiative.
  • Arrange meetings with internal and external stakeholders, in line with the Group Chair's and Managing Director's priorities and responsibilities. This will involve arranging meetings with a large number of external stakeholders.
  • Manage the Group Chair's and Managing Director's e-mails, action items on their behalf, draft e-mail correspondence to internal and external stakeholders, and track progress on incoming and outgoing emails.
  • Support the Managing Director in the coordination of their priorities and actions across the Site Leadership team.
  • Support the Managing Director in preparing agendas for formal and informal meetings, taking high quality minutes, and recording and following-up actions from meetings as required.
  • Undertake day-to-day supervision of Site-based Executive Assistants (those supporting members of the Site management team), and coordinate effective cross cover across the Site-based team of EAs.
  • Raise requisitions and purchase orders and receipt against these, using Group financial management systems and processes.
  • Develop effective administrative systems and processes on behalf of the Managing Director and the wider Site management team to ensure high standards are maintained.

  • Previous supervisory experience
  • Experience of managing Executive level meetings, including experience of taking minutes and actions of meetings
