Job summary
The role of the Information Governance Officer is to support the Head of Information Governance in the Information Governance work programme, to ensure compliance with the Data Protection Act 2018, Network & Information Systems Regulations 2018, the requirements of the Data Security and Protection (DSP) Toolkit and other relevant standards, guidance, and legislation.
The post holder will be responsible for working with key leads to ensure relevant evidence is collated to support the Data Security and Protection (DSP) Toolkit submission and will contribute to the development of effective work programmes for staff to ensure that the highest standards for Information Governance compliance are implemented and maintained across the Trust.
The post holder will contribute to the development and delivery of Information Governance training programmes to staff at all levels across the organisation and assist the Head of Information Governance in the effective management of Information Governance incidents, using the Datix risk management software.
Main duties of the job
- Assist in the development and the delivery of specific Information Governance and data security training programmes for all staff across the Trust.
- To arrange IG specialist staff training and awareness sessions which are not led by the Learning & Development Team (e.g., Data Protection & Caldicott Awareness sessions, Information Asset Owner training sessions) and maintain a database of attendees.
- To work closely with key staff to raise awareness of the Information Governance agenda and to make recommendations for change in working practices that will enable the Trust to be compliant with legislation and national standards set by the Information Commissioner's Office, NHS Digital, Care Quality Commission, National Cyber Security Centre, and others.

The IDT directorate manages the Trust's IDT systems, infrastructure and IT support services enabling the electronic filing, printing and sharing of both clinical and non-clinical information. It also provides support to manage the systems and services which includes: Service Desk; IT training; break-fix; application development, acquisition and support for all the supported Trust IT services. The IDT department is also responsible for Information Governance.

- To arrange IG events and provide admin support for all IG events
- To assist with the drafting and presentation of reports to the Data Security and Protection working group (DSPTWG) and any other working group with responsibility for IG matters including administer and minute meetings.
- To work closely with senior managers to identify areas of risk and gaps in compliance with information governance standards and support with identifying controls.
- To develop and maintain the Trusts Information Governance sections on the Shared Drive, Intranet, and public website.
- To advise and assist where appropriate in the development of documentation, to include, protocols, procedural manuals, posters and leaflets, and other promotional and training materials.
- To work with and assist the Head of Information Governance in the collation of evidence for all statutory reports, including the DSP Toolkit and CQC tasks.
- To assist the Head of Information Governance in the management of recorded IG incidents (using the Datix risk management system), follow-up of recommendations/action (as and when required) and production of investigation reports.
- To contribute to the development of new/revised IG related Controlled Documents (policies, procedures, standard operating procedures)
- To support Information Asset Owners, Information Asset Administrators to ensure compliance with all relevant DSP Toolkit standards.
- To support the Head of Information Governance in the conduct of internal and external Information Governance audits, ensuring that any recommended action plans are implemented in a timely manner.
- To support the Head of Information Governance with the conduct of due diligence on external suppliers, ensuring that all relevant responses are collated in a timely manner and forwarded to as and when required.
- Deal with incoming queries or requests from external parties, relating to Information Governance including members of the public, patients, complainants, police, solicitors, insurance companies, other NHS staff members and other third parties such as social services and safeguarding and escalate to the Head of Information Governance where necessary.
- Provide general support to the Head of Information Governance.
- Stay up to date with data protection legislation and best practice.
