Job summary

Harefield hospital is part of the Guy's and St. Thomas' NHS Foundation Trust and offers world-leading expertise and research in heart and lung disease.

We are looking for a part time Respiratory Physiology Administrator to join our existing Team. The successful applicant will be expected to carry out a wide range of administrative and reception duties and must be able to demonstrate experience of working within an administrative role, the ability to meet deadlines, in addition to providing an efficient and effective service to the Respiratory Physiology Department.

As Administrator you will also ensure the smooth and effective booking of appointments for patients at the Harefield Hospital. You will be an organised, enthusiastic person with excellent communication skills, a caring approach and experience of Word, Excel and Hospital Administration Systems.

Main duties of the job

Your duties and responsibilities will include: - First point of contact for the Physiology Department (in person, email and telephone) - Responsible for booking lung function appointments, dealing with sleep patient related queries, posting out equipment, stock control, data input into dedicated patient administration systems and other duties vital to the administration of the department.

The ideal candidate will have good interpersonal skills and will be able to work well as a part of a team.

You will also need to be a confident and well-presented person, with an ability to cope under pressure and an excellent telephone manner is essential.

The postholder will be the first point of contact and will deal with all patient enquiries via telephone or in person, regarding appointments and replacement equipment.

The postholder will be responsible for checking if patients are due replacement equipment and will also be responsible for wrapping & posting out the replacement equipment to patients to the correct address.

The postholder will receive patients attending the department

The postholder will be responsible for updating databases where appropriate.

The postholder will liaise with Wards to arrange the delivery of patients to the department for testing.

The postholder will also be responsible for providing general and clerical support for the department including filing & typing letters.

The postholder will be responsible for ensuring spreadsheets and hospital computer systems i.e. EPR/EPIC are up dated and complete, registering patients and keeping pace with changes to hospital systems.

Main tasks and responsibilities

Communication

The post holder will prepare information to be given to patients, i.e. appointment letters & technical instructions.

The postholder will liaise with wards and other departments within the hospital

The postholder will answer telephone & email enquiries.

The postholder will deal courteously, efficiently, and confidentially with all enquires.

The postholder will liaise with the departmental staff, to optimise the service to patients and identify any potential problems with patient appointments.

The postholder will liaise with outside hospitals, secretaries, and medical staff regarding requests for tests carried out in the department.

To assist the Lead Clinical Physiologists in the implantation EPIC where appropriate.

Policy & Service Development

The postholder will undertake mandatory training, and any other training deemed necessary by the departmental managers

The postholder will be familiar with all Trust and Directorate policies and to abide by them.

  • To ensure all mandatory training courses such as Manual handling, Fire, Resuscitation, Infection Control, Health, and Safety are attended on an annual basis and the knowledge gained adhered to.

  • To be able to perform any other duty as deemed necessary by the Lead Physiologists.

Resource Management

To monitor stock levels of Sleep consumables & stationary and alert lead clinical physiologists in order-to-order new stock as appropriate.

Information Management

Use EPIC to book patients into appropriate test slots.

Access patients electronic requests and place patients test on hold appropriately.

Obtain relevant documentation needed to invoice private patients.
