Intrapartum Team ward manager's assistant

Job summary

The post holder will support the Manager/Deputy in promoting the smooth running of the ward and providing administrative and secretarial support to both the Manager and ward clerks.

The post holder will work closely with the Lead Midwife/Manager and all relevant members of the multi-disciplinary team and provide a comprehensive, professional and confidential secretarial and administrative service on up to two wards/areas.

The post holder will develop and implement administrative systems in the allocated areas which will ensure the efficient and effective running of the wards, allowing the Lead Midwife/Manager to concentrate on the clinical aspects of their role.

The post holder will also respond to enquiries from patients and their visitors, and liaise with staff from other wards and departments.

Job description

Job responsibilities

Providing secretarial support to the Lead Midwife/Manager

Keep a tracking system of all new starters to delivery suite to ensure they meet their probationary targets and arrange meetings.

Keep a tracking system of all appraisals for all staff on delivery suite and highlight pending to responsible appraiser/appraise and provide them with relevant paperwork.

Be responsible for organising all relevant delivery suite team meetings. Prepare and circulate agenda, take and transcribe meeting minutes and distribute appropriately.

Ensuring that Trust governance policies for all patient and ward documentation are in place and adhered to.

Supporting the ward manager in the collation of information to answer complaints, PALS enquiries and investigations undertaken.

Assisting the Lead Midwife/Manager in analysing and responding to service user feedback in order to improve womens experience.

Work and support the rota coordinator in ensuring gaps in the rota are identified and action taken to cover. Support with review and allocation of annual leave in a timely manner.

Review sickness for individual team members. Identify those who have triggered the Trust absence policy. Escalate to ward manager/deputy.

On a monthly basis through work force information, assess mandatory training requirements for all staff in the delivery suite area. Send reminders to those non-compliant and inform ward manager/deputy.

Assisting the Lead Midwife/Manager with project work on the ward, as appropriate

Assist in the collation of information for audits and service improvement

Organising jobs to be addressed by estates and facilities issues, liaising directly with the appropriate departments

Assisting and actioning matrons roundings where required

Assisting the Lead Midwife/Manager in the administrative process for the recruitment of new staff

Ensure the timely booking and scheduling of all babies who require BCG vaccination or/and hip referral for any early discharges home from delivery suite.

Support the ward manager in reviewing ward KPIs and implanting relevant actions identified.

Receive training on the procurement system and when required in the absence of the Stock lead be able to order ward goods and supplies.

Receive training on monitoring the servicing and maintaining the log of equipment to be able to support the Stock and equipment lead if necessary.

Support Lead Midwife/Manager in organising fire evacuation training for staff within the department.
