Job summary

Band 3 Outpatients Administrator (Orthopaedic and Fracture Clinic)

An exciting opportunity has arisen in the Orthopaedic and Fracture Clinic to join our friendly team of Outpatient Administrators.

The department is covered between 08.30 to 17.30 Monday to Friday (closed Bank Holidays).

Duties will involve welcoming attending patients and relatives within the department and ensuring that they are booked in accurately on the electronic system.

You will also schedule return appointments as required, including those patients being followed-up by telephone.

The administration team is responsible for ordering stock for the department, organising hospital transport and booking interpreters.

Main duties of the job

The post includes the administration of the daily Virtual Fracture Clinic, working as part of a multidisciplinary team.

This is a very busy clinic and requires the post holder to manage referrals, schedule appointments and complete patient correspondence in line with current protocols.

You will need to be able to work in a calm, logical and methodical way but be able to multi-task. You must possess effective communication skills whilst dealing with frequent interruptions.

You should have good keyboard skills and previous experience in a healthcare setting would be an advantage. You will be required to have a good level of education and have experience in administration and clerical duties with customer care skills. Full training will be given on IT systems and processes.

Job responsibilities

The post holder will be the point of contact for the administrative issues relating to patients pathway of care in relation to outpatient enquires and Virtual Fracture Clinic (VFC). The post holder will work as part of a multidisciplinary team and will provide expertise in the proactive management of the patient pathway from referral to discharge, ensuring the entire pathway is managed smoothly.

In addition to managing the VFC patient pathways, the post holder will also be required to perform complex administrative functions and will be responsible for receiving patients and visitors attending the orthopaedic outpatient clinics, taking ownership of escalated administrative issues where appropriate.

The Orthopaedic Outpatient Administrator works in close partnership with medical, nursing and clinical admin team (CAT) staff to ensure the smooth running of the outpatients department. The post holder will ensure high levels of patient and clinician satisfaction by being an accessible, customer focused and knowledgeable point of contact. To provide a consistent approach across the Trust, using Standard Operating Procedures (SOPs) to ensure that functions of the role are carried out correctly within given timescales.
