Job summary

The Directorate of Ophthalmology is a large, vibrant, and exciting place to work. It is one of the busiest out-patient departments in the Trust and patients travel from across the region and country to be treated here. Its annual activity is around 100,000 out-patients and up to 10,000 surgical procedures.

This post is based in the Vitreo retinal department within Ophthalmology. The Vitreo retinal service offers appointments for routine and emergency patients, in both outpatient clinics and theatres. It is a fast paced, dynamic and time critical service. Due to the nature of this, to ensure the clinical needs of all our patients are met, the successful candidate will need to have excellent time management and communication skills. This is a diverse, non-patient facing role which involves but is not limited to, making and receiving calls from both patients and clinical colleagues, processing urgent clinical information and managing a shared email inbox with the team.

Main duties of the job

Our team of Ophthalmology Service Coordinators work with our administrative teams, and our clinical service teams, in partnership with our Clinical Leads. To work well within our teams, you will need to be passionate about improving patient care and about making Ophthalmology an outstanding place to work.

Main duties of the job

  • Assist with clerical support in the day to day running of the office area to ensure Service provision is met.
  • Responsible for full utilisation of out-patient clinics.
  • Responsible for ensuring accurate clinical outcomes are recorded on the Trust's IT systems.
  • Responsible for accurate prepping of clinics, case notes and other relevant documentation.
  • To deal with, as appropriate, enquiries from staff, members of the public in person and by telephone, and visitors to the Service.
  • To provide reception support, as and when required, including receiving patients to the service and assisting with enquiries.
  • Supporting new members of the team as appropriate.
  • To be responsible for maintaining the administration and storage of data, in accordance with local policies and procedures.

To take responsibility for good housekeeping in the Office / Reception / Waiting area, ensuring they are kept clean and tidy.
