Job summary

We are looking for an enthusiastic, hard working individual to join the Job Planning Team within the Medical HR Department. You must be used to working at a fast pace and be able to work well under pressure with excellent time management and organisational skills.

This is a key role that provides vital administrative support to the Job Plan Co-ordinator and Job Plan Advisor in the day to day job planning process for Career Grade doctors.

Main duties of the job

To work closely with the Job Plan Co-ordinator and Job Plan Advisor to ensure all Career Grade doctors within the Trust maintain up to date job plans.

To provide financial/PA reporting information to the Trust, Directorates and Finance Department as required.

Responsibility for the distribution of Additional Programmed Activity correspondence and Opt Out Waivers.

Consistency checking on receipt of agreed job plans.

Organisation of job plan review meetings for each specialty including obtaining pay progression confirmation for doctors in advance of each meeting, running financial/PA reports from the e-job planning system, preparation of meeting documentation and carry out follow up actions ensuring deadlines are met.

Responsibility for creating accounts for new starters and arranging appropriate training with the Job Plan Advisor for the e-job planning system to ensure they have a job plan on commencement.

Responsibility for deactivating accounts for leavers, ensuring their job plans are up to date prior to their leaving date.

Assist Consultants/SAS doctors in accessing the e-job planning system or advise on how to sign off their job plan either over the phone, via teams or face to face.

  • Minimum of 5 GCSEs at Grade C/4 or above including English and Maths.
  • NVQ Level 3/equivalent qualification or combination of qualifications in administration and office procedures.
  • Extensive administrative experience within the NHS or other large organisation.
  • An appropriate IT qualification or high level of experience with Microsoft Packages (Word, Excel and Outlook are essential).
