An exciting opportunity to work in a new role within the Obstetrics, Gynaecology and Neonatology Governance Team. The successful candidate will provide a comprehensive high quality, confidential administrative service to the Healthcare Governance Team within the OGN Directorate. They will organise and maintain the clinical, administrative and clerical systems which support the Healthcare Governance Team.
Main duties of the job
To promote and support a culture of learning and quality improvement across all aspects of patient safety and occupational safety within the Obstetrics, Gynaecology & Neonatology.
To support the development and implementation of efficient and effective risk and incident management systems and processes in order to improve the quality, safety and resilience within OGN.
To provide high quality, patient-centred governance arrangements within the OGN Directorate.
To support the OGN Directorate and facilitate the governance agenda as set out by the Trust.

- Working as part of a governance team, communicating information about all aspects of risk and governance to staff at all levels within OGN.
- Contribute and assist in the implementation of the governance agenda at a care group and Trust level, using knowledge and experience gained through in-house training.
- Contribute and assist the governance team to be compliant with the various regulatory bodies (both internal and external to the Trust).
- Working autonomously when required to promote, facilitate and contribute to the governance agenda.
- Producing data and management reports to facilitate the operational activities of the governance team; this would include the following:
Incident reports
Dashboard for Governance Teams
- Performance and compliance data for external parties such as CQC, Healthcare Services Investigation Branch HSIB
- Advise and support Datix reporters and approvers with incident management.
- Contribute and assist the governance team with the identification of significant incidents.
- Provide support to the governance team in the investigation and analysis of a serious incident.
- Make judgments on complex information to identify causes of errors.
- Set up and maintain distribution/cascade systems for policies and national guidance including safety alerts to ensure relevant staff receive appropriate information and provide assurance to the group of compliance.
- Understand the role for servicing meetings of a significant nature and to be politically sensitive to the discussions and have a good basic knowledge of the issues under discussion.
- Take detailed, high quality meeting minutes ensuring discussions, decisions and actions are accurately recorded and robust to internal and external scrutiny.
- Provide the routine maintenance of the following throughout the OGN Directorate:
- Risk registers
- Risk inspections
- Medical device asset registers
- Contribute and assist with supporting the audit processes within the OGN Directorate.
- Contribute and assist the Governance Team with the Business Continuity and emergency preparedness compliance within the Trust; this would include training to become a Loggist which involves Directorate and wider Trust responsibilities.
- Provide the first point of contact for the Governance Team, dealing with initial enquires from patients, families, corporate and legal teams exercising judgement, screening and taking necessary action.
- Reply directly to correspondence and telephone calls and draft replies to correspondence.
- Maintain an effective system for monitoring of inquests, claims and serious incidents, including the setting up of electronic folders, filing of associated documents and to monitor deadlines alerting the governance team when action is required.
- Maintain an effective system for monitoring of patient feedback including Friends and Family Test
- Deal with sensitive and confidential business on behalf of the Governance Co-ordinator, maintaining the confidentiality of patients and staff at all times and initiating action as required and producing reports as required.
- Design, edit and write the monthly Directorate Governance Newsletter, ensuring insertion of timely and accurate content.
