Main duties of the job

The Estates, Facilities and Capital Development team (EFCD) at University Hospital Southampton have an exciting secondment or fixed-term contract opportunity for a project support officer to support the delivery of change within the department.

EFCD plays a critical role in supporting the hospital and provides a diverse range of services including estate maintenance, capital development, estate compliance and a whole host of soft facilities management services including cleaning, catering and portering.

The successful candidate will provide support to project managers working across these teams to lead strategic change projects, along with supporting a variety of communication, training and administrative requirements.

You must be highly organised and able to work under demanding timescales and stay calm under pressure.

Key Responsibilities:

  • Assist in the development and preparation of overall project plans and key workstreams across a programme of work.
  • Keep project plans updated ensuring progress is tracked against baseline and issues escalated.
  • Produce project reports, detailing actual performance against plan. Communicate project progress to senior managers, highlighting any risk.
  • Collaborate with a range of stakeholders to undertake surveys, process map procedures, and take part in information gathering related to projects.
  • Organise project meetings and coordinate multi-disciplinary representation, producing clear actions from meetings to enable stakeholders to deliver assigned tasks, taking minutes when required.
  • Undertake a range of communication, training coordination and administrative tasks to support project delivery.

What we're looking for:

  • Educated to level 4, and/or equivalent relevant experience.
  • Practical experience in a project administrative or support role.
  • Experience in organising and prioritising multiple tasks within tight timescales.
  • Excellent communication and Microsoft Office skills.
