Job summary

To provide an efficient and effective support in a timely and accurate manner to members of the Medical Education infrastructure/Medical Education Manager to enable the team to work to its optimum in terms of efficiency and organisation in keeping with the high professional standards of the department.

To ensure that data quality and timelines meet Trust and Health Education England targets.

Responsible for all aspects of Postgraduate Medical Education administration, working to optimum in terms of efficiency and organisation.

The role requires an administrator with the qualifications and ability to provide an excellent, confidential and efficient service. This role requires excellent organisational skills, initiative, time management skills, the ability to work towards deadlines and manage and prioritise own workload.

Main duties of the job

Assisting the Medical Education Manager with planning and facilitating five (July, August, December, February, April) Induction programmes for Core/Foundation/GP trainees based in Nottingham and Mansfield.

Co-ordinate and ensure all room bookings are made in a timely manner for all postgraduate events.

Responsible for ensuring all new Junior Doctors receive all relevant Induction correspondence prior to starting at the Trust and on the day of Induction.

Allocation of Educational & Clinical Supervisors for all doctors in training, making reference to the Train the Trainer Database, following HEE & GMC guidelines.

Maintain registers of teaching attendance in order to assist review processes for junior doctors and monitor absences to the trainees Educational Supervisor.

Co-ordination of Higher Specialty Training Days, including communication with internal and external facilitators. Communicating to all parties involved ensuring the smooth running of events.

Inform doctors in training of their relevant Pre-ARCP timelines. Organise Pre-ARCP meetings with relevant supervisors/TPD/RCT as per GMC guidelines at relevant times throughout the academic year.

Maintain the Trust datasource for Trainer Recognition required by both HEE & GMC identifying. Educational & Clinical Supervisor records are kept up to date.

Co-ordinate the twice-yearly mandatory Psychotherapy competency-based assessments with the relevant Psychotherapy Tutors.
