Medical Secretary for Older Person's Mental Health

Job summary

You'll provide comprehensive secretarial and administrative support to the Consultant, Medical Team and department. We are looking for someone who thrives in a busy environment, that is able to use their own initiative and work without immediate supervision. The right candidate will have excellent IT and typing skills, as well as outstanding communication skills.

This role will be based predominantly from The Mulberry Centre, with the expectation to travel to Glanville House for part of the induction and occasionally thereafter.

The role is between Tuesday-Thursday 9-4.

Main duties of the job

To work as part of a team providing comprehensive medical secretarial support to the Consultant, Junior Medical Staff, and other members of the team

To deal efficiently and effectively with patient enquiries, resolving them where appropriate or directing them to the appropriate personnel

The post holder will have regular contact with clients and carers arranging appointments and/or admissions and will be required to use tact and diplomacy. From time to time there will be a requirement to deal with difficult telephone calls from highly distressed clients or their carers, requiring sensitive reassurance and advice as appropriate within the remit of the role

Regular liaison with multidisciplinary teams and external agencies

Arranging of appointments, visits and clinics for the medical team as required

Typing and proof reading of confidential correspondence. Documentation will frequently be of a confidential and sensitive nature and will require concentration and accuracy

Supporting Team Consultant with Clinical Director role - e.g. overseeing annual leave and cover arrangements

Dealing with day-to-day incoming mail and e-mails to the team, drafting or sending responses when appropriate within the remit of the role

To devise, set up and maintain, effective office systems

To ensure that all sickness absence in the medical team is reported correctly by notifying the appointed administrator for sickness absence

To adhere to Somerset NHS Foundation Trust policies and procedures

Essential

  • Diploma level/NVQ 3 in Business Administration or equivalent.
  • ECDL or equivalent (or equivalent/working towards).

Desirable

  • RSA Stage III or equivalent typing/word processing including audio typing.
  • Level 3 Leadership & Management or willing to work towards.
  • Supervision training.

Experience

Essential

  • Experience of dealing with sensitive and distressing issues.
  • Experience of dealing with multi-disciplinary teams and external agencies.
  • Experience of using Microsoft Office packages e.g. Word, Excel and Outlook.
