Job summary

We are looking for a proactive and dedicated Maternity Administrator/Receptionist to join our dynamic Maternity Services team at Musgrove Park Hospital. This is a vital front-facing role where you'll support women and their families, acting as the first point of contact across all areas of the Maternity Unit, including the Delivery Suite, Bracken, Fern and Willow Wards, and the Antenatal Clinic.

You will play a key part in ensuring the smooth running of maternity services through effective communication, accurate data management, and high-quality administrative support. This is an excellent opportunity for someone with strong organisational skills, a compassionate nature, and a passion for providing excellent patient support.

We are looking for administrators who are flexible and able to work across a 7-day rota, which includes a combination of long shifts from 08:00 to 20:00, Monday to Friday, and 09:00 to 17:00 on Saturdays and Sundays.

Main duties of the job

  • Work collaboratively with midwives and healthcare professionals in the daily operations of all maternity service areas.

  • Register, admit, and discharge patients using multiple systems (Maxims, BadgerNet, MEDWAY, etc.).

  • Maintain accurate and timely data entry of maternity records and birth data.

  • Welcome and direct patients and visitors, providing information and reassurance when needed.

  • Manage follow-up appointments, clinic bookings, and patient records.

  • Train and support new reception team members.

  • Keep reception areas tidy, well-stocked, and operating smoothly.

  • Use Microsoft Office applications to manage spreadsheets, reports, and communications.

  • Respond to telephone, in-person, and email enquiries with professionalism and confidentiality.

  • Provide cross-cover and additional shift support during staff absence or high-demand periods.
