Job summary
The post holder provides accurate and timely administrative support to the Acute Medicine Teams, acting as the first point of contact for telephone calls. Responsibilities include managing correspondence, diaries, data systems, arranging meetings, typing reports, handling sickness and leave requests, and using IT systems (Eroster, Integra Centro, Rio, Oceano, and Maxims). They also support specialty teams with outpatient and reception duties, coordinate workloads, and work with the Medical Administrator Team Leader to maintain high standards of support. The role aligns with Trust values to ensure an excellent patient experience.
Main duties of the job
Deal with day to day correspondence, initiating appropriate responses in order to provide patients, staff and other parties with required information in a friendly and professional manner
Receive telephone calls, accepting messages on behalf of members of the specialty team, taking appropriate action where necessary
Liaise with appropriate personnel in the multidisciplinary teams to gather and co-ordinate patient information so this is accessible in a timely manner
Participate in team and Trust meetings as required
Prioritise own work efficiently and effectively, working within the secretarial team to ensure Trust targets for all administrative duties are met, highlighting any issues to the Medical Administrator Team Leader. Liaise with other team members to ensure fair distribution of workload.
Access and Management of filing confidential and sensitive data in written and electronic forms.
The post holder will be responsible for the efficient management of Integra Centros, including ordering for multiple sites and completing new product request forms.
Ensure timely management of starters/leavers and changes forms
Provide cross cover for colleagues during periods of absence, acting up and down when required in own department and across the Directorate administration teams.
Carry out all day to day administrative duties required by the Acute Medical Ward Manager including sending letters, memos, reports and forms.
