Job summary

The post holder is responsible to the Senior Inventory Manager. The post holder primary responsibility is the day-to-day management of a replenishment team that services a directorate or a central warehouse. This involves replenishment schedules, resolve Supply Chain and inventory management issues across the directorate, that directly impact patient care. To Lead on a higher standard of customers services. Assist in the management of staff and resources to enable an efficient and effective replenishment team.

To forge and maintain close relations with end users to ensure high standard of service. This will be achieved through influencing end users & stakeholders to support the standardisation and optimisation of processes used in the management of the inventory and replenishment provision on behalf of the Trust.

Proactively lead and support the inventory management improvement programme, initiatives and CIPS savings that sits with the inventory management team to ensure compliance with Supply Chain KPI's and product availability - right product, right place, right time.

Main duties of the job

  • Day to day management of a replenishment team for a directorate or service provision, such as Theatres or a central warehouse - this service ranges from a replenishment top-up to a fully managed service with Atticus live sites.
  • Communicate in the most appropriate manner for updating information on goods and consumables to colleagues and suppliers.
  • Communicate information regarding suppliers, consumable and departments as required.
  • To forge and maintain close relations with end users to ensure high standard of service. This will be achieved through influencing end users & stakeholders to support the standardisation and optimisation of processes used in the management of the inventory and replenishment provision on behalf of the Trust
  • Coach and support replenishment team to maintain routines in line with inventory management parameters; (this is not exhaustive)

The post holder will:

Maintain the information and data accurately and in a timely manner to ensure this would aid and add value to any investigations for product recalls, late deliveries etc. that could potentially impact patient care.

Ensure effective management of the flow of goods and consumables so to aid and add value patient care.

To ensure the team respond to Medical Device Alerts (MDA) ensuring that appropriate action is taken to minimise risk as instructed

Policy, Service, Research & Development Responsibility

The post holder will:

Provide advice to help services improve the delivery of quality and efficient patient care through the use of the inventory and replenishment processes

Provide input into processes which may impact on services within own area of expertise.

Establish and maintain a high level of knowledge and understanding of assigned systems and processes, including the capabilities to share knowledge and know how to teams.

To encourage changes in working practices arising from new developments or process changes through department visits, demonstrations, and support.

Facilitate and promote re-use of material and good practice between team members; contributing to the development of supply chain strategies and standards.

Responsibility for Finance, Equipment & Other Resources

The post holder will:

Responsible for the safety and security of any device allocated by the Trust. The use of all IT systems including any storage and movement of data should be done in accordance with all Trust IT Security Policies and procedures.

Responsibility for the secure safekeeping and appropriate use of all equipment and supplies provided by the replenishment team, and suppliers where appropriate and the return or disposal of such items when no longer required for the delivery of services.

Responsible for the safe handling of equipment and any mechanical devises on a daily basis and to report to management any safety issues, following the trust policy.

Contribute ideas on ways of minimising the cost in the supply chain, that includes resources, clinical consumables and equipment.

Recommends saving opportunities through usage of alternative products/ supply mix from Suppliers., through the affective management of the theatres centrals stores and internal processes while maximising availability of clinical lines.

Responsibility for Supervision, Leadership & Management

The post holder will:

Responsible for day-to-day coordination and management of a replenishment team, including the support function for recruitment, managing performance, dealing with sickness, staff appraisals, team building and motivation.

Liaise closely with suppliers and other stakeholders to facilitate the timely resolution of queries or supply chain issues affecting deadlines or completion of tasks.

Be involved in regular departmental updates on any new developments, issues or change in processes.

Deputies for the Assistant Inventory manager and Senior Inventory manager when required to support the replenishment to maintain optimum inventory availability.

Resolve any queries, uplifts or collections on behalf of the customer liaising with NHS Supply Chain, commercial suppliers.

Information Resources & Administrative Duties

The post holder will:

Work mainly on their own initiative and manage their own workload. They will work in a manner that maintains and promotes quality.

Generate, review and validate supplier and supply chain performance reports such as substitution log, out of stock reporting suppler delivery details etc.

To aid any data collation requirements from current systems & software, Atticus, Oracle & Supply Chain to assist with procurement and inventory management processes.

Contribute to user guides and training materials to ensure other fellow Procurement and Supply Chain team members can also support the inventory management processes.

Contribute and add value to internal supply chain processes standard operation procedures and any change management documentation.
