Job summary

An opportunity has arisen to join our Colorectal Department at Musgrove Park Hospital.

We are looking for an enthusiastic person to provide a PA service our Colorectal clinicians and support the Medical Secretary Manager in the daily supervision and positive leadership of the administrative team ensuring that high standards are maintained in terms of quality and output and that an excellent patient experience is provided at all times.

The successful candidate should have excellent communication skills and be able to work as part of a team, but also use their own initiative.

Main duties of the job

Be a main point of contact for the specialty, having full knowledge of specialty processes, or know where to resource help or to find answers.

Provide communication between Clinicians, General Practitioners, multidisciplinary teams, patients, managers and all necessary internal & external contacts to achieve an excellent and smooth patient pathway. Enquiries/contact can be via telephone, correspondence, email or face-to face requiring a sensitive and patient manner. The post holder will require a high level of competence and confidence with a strict requirement of confidentiality.

To supervise and lead a specialty administration team on a daily basis to achieve high quality, efficient and effective outputs in line with Trust standards, carry out regular 1:1 meetings with staff under mentorship/supervision, recording progress and agreed action plans.

Organise cover for periods of absence and assist in the emergency cover of specific work (i.e. urgent letters/reports) if required to ensure turnaround times and standards are maintained, referring to the Operational Manager as appropriate.

Be reponsible for actively updating patient pathways (RTT) in accordance to the Trust's Access Policy.

Represent secretarial staff at Department and Trust meetings.
