Job summary
An exciting opportunity has arisen for a B4 Administrator in the Community Occupational Therapy Service Our valued administrators are an integral part of our busy team, providing administrative support to the Paediatric Occupational Therapy service, Service Leads and Team members The postholder will have excellent attention to detail, proficient IT skills and be experienced in providing high quality customer focused support.
Main duties of the job
- The post holder will manage and provide administrative duties for the Paediatric Occupational Therapy Service.
- To initiate, co-ordinate and monitor administrative systems in discussion with the Paediatric Occupational Therapy Service Leads.
- To be responsible for managing day-to-day enquiries that come into the service by written correspondence/face to face and telephone, including verbal complaints.
- To be responsible for ordering and monitoring resources.
- To ensure that systems are effective and efficient.
- To supervise and oversee the work of administrative support regarding work for the Paediatric Occupational Therapy Service.
- To work independently and often without direct supervision.
- To coordinate administration arrangements for team meetings for the Paediatric Occupational Therapy Service.
- To type and distribute minutes and action points from meetings.
- To establish and maintain office procedures and documentation and to manage the office diary.
- To maintain staff records including annual leave, sick leave, study leave and inform HR/Payroll as required.
- To exchange information verbally and to compose written correspondence with patients, carers and staff relating to appointments and clinic details.
- To utilise a comprehensive range of word-processing, spread sheets and software programmes.
