Job summary

An opportunity has arisen for a Datix / Radar Healthcare Admin Assistant to join our small friendly team managing the Trust's Risk Management System to cover Maternity leave

You will be confident and able to assist with data cleansing, solving queries, working to deadlines and producing reports. As a member of the Datix /Radar Healthcare Team, the post holder will assist with the support provided to our incident reporting and risk management modules

The Datix / Radar Healthcare Team sits within, and is supported by the Trusts Health, Safety & Risk Management Team.

Previous experience of using Datix or other IT systems is preferred although training will be provided.

This is an exciting opportunity for the right candidate, looking to develop both their skills as a system administrator and their wider risk management knowledge and skills.

Main duties of the job

INTERVIEWS TO BE HELD ON 13/02/2024 AT 12PM

The main duties of this job is the administration of thetrust's risk management system, which includes:

  • A daily quality check of submitted incident forms for errors or incorrectly filled in sections
  • Setting up accounts for new users on the system
  • Responding to and dealing with FOI queries requiring data on incident reporting
  • Producing reports as and when required
  • Confidently dealing with any adhoc queries
  • Ensuring that any external incidents are captured on the system and dealt with appropriately
  • Maintaining the highest standards of confidentiality when dealing with sensitive information, including information relating to patients or staff
  • Prioritising own workload

You will need to be self-driven with excellent communication and interpersonal skills.

You will take pride in your work, be highly motivated, professional, have a flexible approach, good organisational skills and attention to detail.

Job summary:

The Datix /Radar Healthcare Admin Assistant will work as part of a small Datix team maintaining the delivery of a high-quality incident reporting system to the organisation. This involves data quality monitoring and cleansing, timely reporting of patient safety incidents to the NRLS, system configuration and development, user account administration and responding to staff requests and queries, delivering training on the use of Datix to individuals and groups, ensuring staff receive the knowledge to assist them in the use of the system and are supported in how the product is used in the Trust, work to deadlines, write reports, training manuals and guidance.

Job responsibilities:

The main responsibility of this job is to help with the daily administration of thetrusts risk management system.

Key Tasks & Responsibilities:

  1. To undertake the following duties within the Datix / Radar Risk management system:

  • Assist with the development of Datix / Radar web form design.

  • Set up Datix / Radar user accounts.

  • Assist with maintaining the list of users by up-dating records and receiving / resolving queries regarding user access, permissions and passwords.

  • Input of records onto the Datix /Radar Risk management system, including the overview of external incident reporting and response.

  • Assist with the provision of routine reports from the Datix / Radar Risk management system for the Patient Safety Team, Heads of Nursing and other ward/divisional managers.

  • Create Datix / Radar Reports to enable data/trend analysis.

  • Assist with the data quality checking and batch exporting of patient safety incidents to the National Reporting and Learning System (NRLS).

  • Undertake daily quality checks of all incident reports within the holding area.

  • Bring to the immediate attention of senior managers any serious incident report or issue.

  • Receive and respond to ad-hoc requests from users seeking help or information regarding the incident reporting module in Datix by Teams, telephone and the generic Datix and DatixTeam email addresses. This will require the individual to assess, resolve and refer enquiries as appropriate.

  • Targeted follow up of individuals with overdue Datix / Radar records including green incident investigations.

  • Provide Datix / Radar training to new users and those staff needing a refresher session.

  • To write and develop up to date training manuals and how to guides.

  • To provide admin support to the Health, Safety & Risk office as and when required.
