Job summary

Under the direction of the Urgent and Emergency Care Leadership Team, the post holder will support the provision of high quality patient care by assisting the team to ensure the Nursing rotas are fully covered across the UTC and ED of both Hinchingbrooke and Peterborough. This will involve liaison with ED Lead Nurses, Service Managers for Urgent Care, ED Matron and UEC Head of Nursing, along with the Trust Flexible Staffing Office.

As the key rota contact for the Division, it is imperative to have an oversight of a daily overview of ED/UTC nursing rota's, anticipate problems and support the team to resolve these. Early escalation to the Urgent and Emergency Care Leadership Team is Vital. Personnel are at the centre of the role therefore strong communication skills are keys.

Main duties of the job

Be responsible for the administration and communication of rotas for Nursing staff and populating of rotas across both sites as well as being responsible for ensuring there is maximum shift fill of UTC/ED nursing rotas.

Will support the team to provide day to day discussions about oversight and early escalation of any gaps forecast across both sites.

Communicate tactfully and persuasively with staff to maintain appropriate cover for all aspects of the Urgent and Emergency services at all times. This includes the co-ordination of all Nursing annual and study leave, in accordance with Trust Policy, ensuring service requirements are met and arranging cover at short notice for sick leave, cancellations and special leave.

Work closely with and ensure that communication is maintained with the ED Shift Coordinator, Urgent and Care Nursing Leadership Team and Flexible Staffing regarding any rota issues across both sites.

Liaise on any sensitive issues, such as sickness absence, compassionate leave or other sensitive information that the post holder has been made aware of and escalate to ED Lead Nurse / ED Shift Coordinator.

Be available as a point of contact for all day-to-day issues affecting nursing staff cover including absences and no shows. This will involve receiving notification of potential problems and escalating to the relevant people to action.

Maintaining the staff absence spreadsheet when notified of an absence and escalating any trends or escalations.

In line with Working Time Directive and New Deal and as agreed by the Clinical Directors and Medical Personnel Manager, help with the implementation of any departmental rotas according to the needs of the directorate. Support effective communication with the Urgent Care Leads and Divisional Head of Nursing and support the team to take action when required to maximise cover arrangements. Have a clear understanding of the interdependency of all nursing team members across both sites and the movement of staff within the department to ensure realisation of the full potential of the team. Support the team to co-ordinate rota changes To provide full support to the rota team to plan and organise workload ensuring deadlines are adhered to and duties satisfactorily performed. To ensure data is available for the Leadership Team to ensure capacity meetings are fully appraised. To attend any meeting as required to provide an overview of current staffing and predictions. The post holder will escalate any concerns regarding resource issues and equipment maintenance. The post holder will identify areas of need as required and liaise with their line manager to minimise or reduce expenditure.

Human Resources Responsibilities To ensure that all bank shifts are finalised on HealthRoster.

Teamwork To work flexibly within the team across both sites ensuring smooth running of the directorate, gaining additional skills as required. To be aware of the workload of the wider team, including the administration rota, and pressures within the other areas enabling support and encouragement to be given to the team as necessary.

Standards and Performance Tact and diplomacy will be required throughout all aspects of the role. Be responsible for ensuring that all Trust administration standards are carried out in accordance with the correct procedures and policies.
