Job summary
The post holder will work as part of a dynamic and supportive administrative team to provide a comprehensive, efficient and effective secretarial and administrative service to the Multi-disciplinary Team (MDT). This role will be carried out under the direction of the Admin Team Co-ordinator and supported by an agreed job plan.
The post holder will be responsible for supporting day-to-day clinical and operational functions within the team, ensuring that administrative processes run smoothly and that all tasks are completed in a timely and professional manner. They will also be expected to contribute to general office duties, including cashiering, ordering through electronic procurement, booking meetings etc.
Main duties of the job
- Provide high-quality secretarial and administrative support to the MDT by taking minutes.
- Manage referrals and appointments using Trust systems, ensuring accurate input and maintenance of patient information and records.
- Answer telephone and email enquiries in a professional and helpful manner, ensuring timely responses and accurate message taking.
- Support the administration of team meetings, including the preparation of agendas, minute-taking, and distribution of documentation.
- Undertake cashiering duties, including handling of petty cash, issuing of receipts, and reconciliation of income in accordance with Trust financial procedures.
- Maintain accurate records and filing systems (electronic and paper-based), ensuring confidentiality is always upheld.
- Provide support with data entry, collating information, and generating basic reports when requested.
- Liaise with other internal teams, external agencies, and service users in a courteous and professional manner.
- Support service improvements and contribute to the development of administrative systems and processes.
- Carry out any other general administrative duties as directed by the Admin Team Co-ordinator to meet the needs of the service.
