Job summary
22.5 hours per week
We are seeking a flexible individual to join the Childrens Universal administration Service. Your role will be to support the provision of an efficient and comprehensive administrative support to the Child health and Rotherham Childrens Public Health Nursing Service.
You should be able to communicate with staff at all levels, as well as members of the public with confidence and initiative. You will require good organisational skills and the ability to work as part of a team.
Familiarity of working within an office environment would be a distinct advantage.

Main duties of the job
- To supervise the Clerical Assistants within the team, and manage the work flows and priorities, within the department
- To run the Immunisation and Vaccination scheduling service, provided to GP practices, ensuring the scheduling is done timely. Also to ensure that changes to Childhood immunisations are reflected in the scheduling. Reporting of any serious anomalies to the Admin Team Leader.
- To maintain records on annual leave, time sheets, and study leave. To carry out PDRs with line managed staff. Also to ensure that admin staff rotas are produced to ensure minimum staffing levels are maintained, at all times.
- Oversee the ordering of stationery and other items which may be needed for community services.
- To attend and contribute to regular staff meetings for CHIS and 0-19 managers and produce minutes of meetings, as required
- Maintain procedure manuals (SOPs) for all areas of the department, and update as required.
- Ensure that all staff are provided with training, both MAST and job specific training, and that records are updated
- To ensure that daily, weekly and monthly returns are completed, both for internal and external reporting (ie GPs and Public Health colleagues)
- To ensure that the child health assistants accurately recall children for statutory developmental assessments both within the Health Visiting and School Nursing service, following guidance provided by Service Manager / CSMs.
