An exciting and rewarding opportunity has arisen to join the Family Health Division at The Rotherham NHS Foundation Trust. We are looking for a focused and highly motivated individual to join the management team in the role of Service Support Manager with a key focus on day to day operational management and service improvement. There will also be a requirement to work across the Family Health Division as part of the wider management team.

Main duties of the job

This post is pivotal in providing key operational and business management support to ensure the delivery of a quality, patient focused service. The post holder will join an established and supportive management team in the Family Health Division and will be required to work with management and clinical teams within the CSUs.

The post holder will be required to manage the day to day operational aspects of service delivery, with a focus on achieving and monitoring access performance and service improvement alongside budgetary responsibilities. The post holder will be required to develop professional relationships with a wide range of key stakeholders in order to support the business functions of the CSUs.

The ideal candidate will have knowledge of an operational management environment with a particular focus on developing and delivering services, achieving key performance targets including access and financial targets. The post holder will be able to lead and support a motivated team to ensure successful delivery.

Job Purpose:

To support the Divisional Director, Clinical Lead, Divisional Senior Management and Matrons in the day to day operational needs of the Division, including but not exclusively acting as Divisional Representative of the day for the Division.

Support the Divisional Director, Divisional Senior Management and Matrons in the development and provision of a comprehensive, high quality, patient centred care service within the resources available. The post has key functions: responsibility for the improvement and delivery of targets related to the delivery of 18 week referral to treatment and cancer targets. Working with clinical teams to ensure effective utilisation of resource to facilitate delivery of those targets.

Supporting the development and delivery of service strategy; organisational development and the management of risk within the Division.

Main Duties and Responsibilities:

1. To support the Division through the daily operational management to include Family Health Divisional Representative of the Day on rotation and working with the Rota Co-Ordinators to ensure any gaps in the medical rota are identified and resolved.

2. Line Management responsibilities of admin teams within the Division and provide support in all areas of HR management of admin teams.

3. To support service planning ensuring the department is developed through the Specialities and is actively monitored through key performance indicators.

4. Support the development of clinical services through identifying opportunities for improvement and project managing the implementation of appropriate developments/changes.

5. To assist the Service Manager with Business Continuity Plans working in partnership with the Clinical Lead and Head of Nursing.

6. Responsible for timely provision of capacity and demand analysis to the Service Manager to support the development of agreed activity plans within relevant timescales across all modalities.

7. Responsible for the delivery of waiting time targets and other performance indicators through analysis of capacity and demand, forecasting and production of appropriate action plans.

8. Work with the specialities to develop, maintain and improve systems across the departments to achieve key targets and maximise utilisation of resources and income.

9. Support relevant service leads to consistently deliver key targets through identifying training needs, producing and delivering training resources and acting as a source of expertise.

10. Project management of specific projects as directed by the Senior Management Team.

11. Provide advice and guidance on the development of services provided through the Trust.

Strategic and Service Development:

1. Work in collaboration with the Service Manager to deliver robust business plans for specialities / services. In conjunction with senior colleagues, identifying opportunities for new markets and schemes to generate additional income and / or reduce expenditure.

2. Devolved responsibility for specific specialty budgets, forecasting, business planning and delivery of Cost Improvement Programmes.

Organisational Development:

1. In conjunction with the Divisional Senior Management, Clinical Lead and Matrons, maintain an open, proactive and collaborative culture within relevant specialities supported by effective two-way communication systems and processes that promote the achievements and activities of the relevant specialities and maintains clinical standards.

2. In conjunction with the HR Manager ensure that robust systems are established for the appraisal and continual development of all staff within relevant specialities, promoting the effective use of skills and flexibility through professional and personal development.

3. Work with the HR Manager to effectively and sensitively manage organisational change and employee relations issues within relevant specialities.

Information Management:

1. Act as a source of advice for clarification and interpretation of performance information, data definitions and data quality issues to the management team.

2. Monitor the achievement of specialty activity / recovery plans within the specialities to ensure both local and national performance targets are met, specifically the 18 week Referral to Treatment and Cancer standards.

Patient/Client Care:

1. Proactively engage in interagency working to develop and implement strategies / services that cross traditional organisational boundaries, encouraging a seamless health system from a patient perspective.

2. In conjunction with the Divisional Senior Management, Clinical Lead and Matrons assume lead responsibility within relevant specialities for the development and improvement of patient care through identifying and responding to opportunities for change that will lead to improvements in quality or efficiency and assist in the development of clinical practice.

Research and Development:

Support service research and development where appropriate.
