An opportunity has arisen for a Band 2 Ward Clerk to join the team on the Childrens Ward and Childrens Assessment Unit (CAU) within The Rotherham NHS Foundation Trust. We care for babies, children, and young people up to 16-18 years old. It is a busy ward caring for a wide range of specialities for medical and surgical patients. We have a large, friendly, and well-established team that provide high quality care to our patients.
We are seeking approachable and dynamic applicants who will work closely with the nursing team to ensure a smooth journey for the children in our care. You must be an excellent communicator as liaising with children, families and the multidisciplinary team is essential. You will have developed IT skills, be motivated, enthusiastic and friendly to meet the needs of the service.
You will work alongside our Ward Clerk team. The hours will be across Monday Saturday, with different shift times between the hours of 07:00 19:30. This can be discussed more at interview. The post holder must be flexible, and be able to swap days to cover other staff members when annual leave or sickness occurs.
Main duties of the job
- Maintain records regarding admissions/discharges/ward attenders/appointments, on Meditech system and admission books as appropriate.
- Ensure all appropriate documentation is complete and filed correctly.
- Ensure that all notes and films are tracked to the relevant department arranging for urgent collection and delivery as required.
- General clerical duties, filing, photocopying, obtaining x-rays/case notes etc.
- Dealing courteously and effectively with all enquiries (face to face, email and telephone). Taking appropriate action as required or pass on to the relevant person as appropriate.
- Liaise with site team and other teams/services and the admissions department with regard to patient admissions, transfers and discharges.
- Deal effectively with other departments, making appointments, booking transport etc.
- Distribute ward and patients' mail.
- Deliver treatment request forms, specimens (outside collection hours) and pharmacy requests to respective departments.
- Deal with Estates and PFI partners making requests for maintenance and repairs, and follow up requests.
- Follow departmental or standard operational procedures.
- Assist with induction of new staff and provide training as appropriate.
- Ensuring the confidentiality of patients records in line with Trust and Caldicott guidelines.
- Undertaking any training that is required for the safe effective execution of the duties of the post.
- Complete safeguarding checks for all patients admitted to the area.
