Job summary

The role is to participate as an effective and collaborative member of the Department of Corporate Governance, providing administrative support to the Senior Inclusion Team. Primarily supporting the workstreams and programmes of work associated with the Workforce Inclusion Strategy (WIS).

Main duties of the job

o Arrange events, forums, consultations and business conferences for the Inclusion Team.

o Book conference/meeting rooms and confirm arrangements as required.

o Provide a comprehensive secretarial service to the Inclusion Team including typing general correspondence, minutes of meetings etc.

o Maintain electronic brought forward system daily and bring forward papers for meeting as required, check agendas and attach any papers required for meetings, chase unanswered correspondence.

o Liaise with all grades of staff/members of the public. Answer telephones and deal effectively with enquiries or passing on messages as appropriate in a professional and competent manner. Ensure the escalation of queries as appropriate.

o Manage budget administration duties, raising PO's Purchase Orders, liaising with finance, keeping budget spreadsheets (for the immediate team and associated budgets).

o Support the programmes of work associated with the WIS as requested, including providing admin cover / support for the 5 staff inclusion networks when required.

The small friendly team has a hybrid approach to work (office/home based) with the post-holder required to work across all of Nottingham University Hospital campuses. Offices are available to use across the Trust but primarily on the City Hospital site.

Co-ordinate the departments post, opening and distribution. Keep a post tracker to ensure mail is actioned. Forward mail inappropriately addressed.

To assist in the production and preparation of training and presentation material, including the use of power point presentations. Support events as a member of the Inclusion Team

Ensure adequate stock management and ordering of stationary and office supplies

To assist in the production of data as necessary such as lists, charts and graphs undertaking straightforward analysis of data as required.

Deal with confidential matters on behalf of the Inclusion Team.
