Job summary

An opportunity has arisen within the Estates & Facilities Team for a suitably qualified and experienced Data Analyst.

This is a diverse role where producing reports and analysis is key to ensure EFM make good data driven decisions and highlight any potential blockers to tasks which may impact on patient flow, within the organisation.

The post will be based at QMC but may be required to work across other sites, the hours of work are 37.5 hours per week (Mon - Fri).

Main duties of the job

The Data Analyst will work as part of the administration team within the Estates and Facilities division, focusing on patient movement (capacity and flow) across the Trust.

The Data Analyst will provide a main point of contact for the accurate uploading of existing and new researched data, used for both reporting requirements, highlighting gaps in services and maintaining a local database of patient data for all patient transfer requests. This information can often be required with minimal notice.

The post holder will also provide support, on service improvement that can be enabled by the implementation of new systems and service redesign where appropriate.

Job responsibilities

To deliver co-ordinated high quality, relevant and timely patient data on all Estates and Facilities services working closely with fellow analysts, team leaders, assistant managers and service leads.

To undertake, maintain and develop regular and ad hoc reports using a broad range of tools, software and techniques to provide detailed advice, support and guidance to appropriate staff.

Ensure that all work targets, robust data collection and validation systems are in place across the services and that statutory returns and management enquiries are resolved swiftly and effectively.o be an active member of the team and provide support and data to the time and attendance team, patient movement, cleaning, catering, Logistics, Switchboard and Helpdesk, Car parking and Security. Bring to the attention of senior managers any anomalies in information, ideas for new ways of working and details of any potential blockers to tasks.

To provide detailed information on service performance for use in the performance management processes.

Use own judgement to make decisions particularly where there is more than one potential outcome/solution.

Ensure triangulation of data and information is undertaken and available to the EFM Manager and other EFM heads of service, reviewing and sharing any trends, in a timely manner.

Use of a variety of computer software and databases to create statistical reports using specialist tools to extract the data needed.

Respond to data-related queries and keep track of these and respond in a timely manner.

Create reports, spreadsheets, summarising and analysing data, identify trends, maintaining systems ensuring systems are adapted to reflect changes in data collected.

To use analysis and interpretational skills to interrogate activity reports and provide explanations of variation from planned levels of management.

To be proactive in all data quality initiatives working closely with data providers/stakeholders as appropriate.

Attendance at any relevant meetings including divisional meetings, in order to effectively undertake the analyst role.

Provide any information as required to support the regular periodic reviewing of staffing resources within the Facilities management team in conjunction with the EFM strategic goals to ensure that longer term staffing needs, skills and personnel are built into the staff recruitment and retention strategy.

To be responsible for data validation and reconciliation exercises, data quality and exception reporting and appropriate liaison with data providers.

Present information for example flow and capacity to relevant colleagues, including clinical teams across the Trust to assist and improve the patient experience.

To improve methods of presenting data in a more meaningful way. Producing reports and charts, communicating trends within data to non-specialists, ensuring ease of understanding, across the Trust, including clinical areas.

To undertake a variety of other job related duties, linked to data extraction and reporting duties, if and when needed.
