Job summary
An exciting opportunity has arisen within the Clinical Genetics Department for a Specialty PA working 5 days (Monday -Friday) to cover the department from 8.00 - 5:00 with varied shift times. The post holder will join a team of two other PA's to provide full PA support to the Genetic Doctors.
You will be a conscientious and enthusiastic team player with excellent organisational and communication skills. You will need to be able to demonstrate a clear understanding of confidentiality issue as our department works not only with patients but also with families.
You will need to be well motivated, reliable and flexible. You will be able to understand and accurately convey verbal and written information and be able to remain calm under pressure. The ability to manage your time, problem solve and prioritise your workload whilst remainingpatient focused is essential.
Main duties of the job
Provide PA support to consultants daily including post, emails ensuring all dealt with. Each consultant has an In-tray which they go through with you. Ensuring typing targets are met working closely with your team.
Prioritise and delegate work to team ensuring that all work is allocated correctly and conveyed clearly.
Urgent typing ensuring that all work is completed within specific timescales. Review lists produced each month ensuring that results, reports, referrals, f/up appointments, other communications received/chased.
Joint clinics involving our speciality and other specialities within the hospital seeing patients together. PA's will sort these clinics which are either created by us or other departments. RSA III word processing or equivalent and educated to GCSE 'O' Level standard with English Language grade C or above.
Experience with Microsoft packages, hospital systems including, Medway, Winscribe, Webhiss would be an advantage, full training is given.

The Clinical Genetics Department consists of 10 Genetic doctors, 14 Genetic Counsellors and a team of 14 Admin. We are a regional diagnostic service that provides an outpatient service covering Nottinghamshire as well as Derbyshire and Lincolnshire where we hold outreach clinics. Our service is open from Monday to Friday from 8.00 to 5:00.
We are a very caring team with Admin, Doctors and Counsellors working very closely to ensure the best outcome for all of our patients and families. We are in our own building away from the main Hospital and we have our own patient/family notes although we will be moving to electronic patient records in the near future.

Accurately transcribe urgent clinical letters using Winscribe, producing high quality work within defined deadlines.
Use judgement and initiative to prioritise the importance/urgency of tasks within defined guidelines.
Establish and maintain admin systems/databases. Dealing with incoming mail, results/reports management.
Attending/organising meetings, take minutes.
Ensure RTT patient data quality is accurate. Key point of contact for consultant.
Communication link to directorate management team, regarding consultant leave/service issues.
Dealing with consultant queries/visitors, managing consultant diary. Telephone calls inbound/outbound relating to patients specific care, in a confidential manner.
Typing of non-clinical letters as required.
Liaise with Out Patient Coordinator to ensure patients are treated within breach dates to support and mentor new staff.
Share responsibility with line manager for own personal development. Undertake HR related tasks, appraisals and recruitment.
Undertake any other duties which may be reasonably required.
