Job summary
An exciting opportunity has arisen for two Executive Assistant roles to the Director of Corporate Governance and Executive Assistant to the Director of Communications and Engagement.
The post holders will need to work autonomously and will be responsible for implementing administrative processes to support the Director of Corporate Governance and Director of Communications and Engagement in their roles.
The post holders will provide senior administrative support for Board/committee meetings as assigned.
The post holder will be the first point of contact on behalf of the Directors, their deputies and other senior managers.
The post holder must be able to work flexibly and work across all internal and external sites as required to the role.
Main duties of the job
To deliver a responsive, efficient service to the Director of Corporate Governance and the management team ensuring deadlines are achieved and that the flow of work is prioritised.
To take notes and minutes at meetings as required, including Board Level Committees, picking out key points from the discussions.
Assist in the preparation of papers for the Trust Board, sub-committees
To perform secretarial duties as required including the management of complex diaries (including multiple diaries), arranging meetings, taking minutes
To manage correspondence where appropriate bringing urgent information to the attention of their Director
On behalf of their Director, filter, draft responses and reply to routine correspondence.
To undertake, support and lead specific projects within the relevant department as directed, ensuring progress stays on track and concerns are flagged to the relevant senior officer
Provide supervision and/or day to day line management of relevant junior administrative/ support staff
