Job summary

We are look to appoint a highly motivated and enthusiastic individual to join our friendly, outpatient teams, providing effective support to ensure the provision of an efficient, professional and complex telecommunication service in all areas, front of house reception and administration of all Outpatient activities for the Trust.

Candidates will need to be confident, motivated and flexible and have excellent communication skills.

You must understand resource management, health & safety, risk and quality issues and RTT patients pathways and ERS.

To be responsible for ensuring staff maintains current knowledge of Trust Policies and Procedures, with particular attention to the following:

1. Major incident plan

2. Cardiac arrest

3. Fire procedure

4. Health and safety, data protection and confidentiality

5. 18 week patient pathway

6. eRS (Choose and Book)

7. Multitone bleep system/AP Access Point phones/Apps (i.e. WhatsApp, Google Hangouts)

8. Cisco Contact Centre (including legacy systems), call centre software package/equipment.

Main duties of the job

The Postholder will be responsible to and report to the Outpatient Operational Lead.

The Postholder will manage Contact Centre/Switchboard operators on a daily basis and make autonomous decisions within parameters of the job description and departmental guidelines.

To provide an office management function and information systems to the Outpatient Department by:

Managing the day to day function of Outpatient Administration Staff.

Leading recruitment and selection.

Authorising time sheets.

Managing and coordinating leave (annual, study , sick and special)

Staff Rotas to cover 24/7 Switchboard/Contact Centre.

Conducting back to work interviews and recording of sickness stats for the department.

Undertaking PPRs (personal performance reviews).

Maintaining up-to-date personnel files and filing.

Coordinating corporate curriculum mandatory training.

Ensuring that all existing and new staff achieve the necessary competencies to provide the service professionally, efficiently and effectively.

Ensure that emergency procedures are implemented effectively, including MAJAX.

Ensuring services are delivered according to shared objectives, goals and SOPs
