Job summary

The Liverpool Women's NHS Foundation Trust hosts one of the largest and longest established assisted conception units in the UK. The Hewitt Fertility Centre is seeking to appoint a Part Time worker to join the team within the Hewitt Fertility Centre at Liverpool.

The successful applicant will be responsible for the administrative processes supporting the Hewitt Centre counselling services and for the processing of queries and the registering of DCR (Donor Conceived Register) registrants.

They will be required to be proficient in the use of Information Technology and supporting technologies to enable the discharge of duties in an efficient and effective manner. The successful applicant must be personable, have excellent communication skills, be able to deal with registrants directly and liaise effectively with internal and external colleagues. Being a 'team-player' and close attention to detail are the key required attributes.

Respecting enhanced confidentiality is essential in all aspects of this role. They will have excellent communication skills and the ability to handle calls in a sensitive manner.

Main duties of the job

The post holder will be responsible for the administrative processes supporting the Hewitt Centre counselling services and supporting DCR (Donor Conceived Register) registrants through different processes.

The maintenance of the Donor Conceived register will be a key responsibility for the post holder. This includes the provision of information to registrants and patients which can be sensitive. The production of reports and spreadsheet use will be key.

  1. Deliver a high level of customer service in all interactions with patients, registrants and other members of staff to ensure the highest standards of confidentiality, sensitivity and dignity are maintained at all times.
  2. Process queries and signpost/refer within the Hewitt Fertility Centre and externally, communicating the information to the registrants, staff and service providers by the most appropriate method dependent upon the service required.
  3. Arrange all communication to existing and new registrants.
  4. Register and prepare files entering demographic data on database.
  5. Maintain an up to date electronic and paper office filing system.
  6. Process queries and signpost / refer within the Hewitt Centre and externally, communicating the information to the registrants, staff and service providers by the most appropriate method dependent upon the service required.

  7. Arrange communication with Kings College London genetics team and registrants about DNA test results.

  8. Arrange communication with registrant representatives / support group

  9. Arrange communication to and between existing and new registrants.

  10. Register and prepare files entering demographic data on database.

  11. Processing counselling referrals
  12. Operate in accordance with HFEA Regulations and Trust Departmental Policies and Standard Operating Procedures within the Department.
  13. Work flexibly to cover the hours of operation
  14. Undertake other duties as required from time to time providing cover for other members of the team.
