An exciting opportunity has arisen within the Patient Information and wider Communication team for an enthusiastic individual to join our team as a Business Administration Apprentice.
You'll have the opportunity to develop the skills that help provide a comprehensive and effective administrative service, with particular focus on the creation and publication of specialist patient information.
Working as part of a team you will have opportunities to gain experience of the wider range of communication activities, which may include event management, internal communications, and graphic design.
This is a full-time post of 37.5 hours a week. A proportion of time will be spent with a training provider, studying towards the Level 3 Business Administration Apprenticeship.
Main duties of the job
You'll be providing administrative support for the Patient Information and Communication teams, with a primary focus on the creation and production of patient information.
This is a unique opportunity to gain specialised print and digital production skills to include printing, finishing, and distributing a wide range of publications both clinical and non-clinical, and to also develop broader business skills needed to support the delivery of an efficient, effective, and customer-focused service. Full training will be provided.
You'll work as part of a friendly and busy team, where you'll have the opportunity to develop the IT and communication skills needed in a business administration environment.

To produce and distribute in-house publications both clinical and non-clinical, including leaflets, brochures, care plans, forms, and posters:
Use specialist software to update patient information leaflets.
Under supervision, process print orders from receipt to completion and recharge print costs
Operate digital print and finishing equipment including binding machine and electronic guillotine
Wrap and distribute orders to wards/departments via the internal post
Be the initial point of contact for patient information and print enquiries
Initiate reviews of out-of-date information leaflets
Liaise with equipment suppliers regarding machine maintenance and consumables
Assist with uploading web accessible leaflet PDFs to the Documents Library.
Follow process to co-ordinate artwork approval and external print ordering.
To provide administrative support including. filing, scanning, photocopying, and typing.
Accurately input, retrieve, and collect data and information using the departmental and RCHT (Royal Cornwall Hospitals Trust) computer systems.
Deal with face-to-face and telephone enquiries, convey messages and transfer calls as necessary whilst maintaining confidentiality at all times.
To deal with the processing of mail, incoming and out-going telephone calls in accordance with RCHT policies.
To support the updating and maintaining of public information noticeboards on our main hospital sites in Truro, Penzance, and Hayle.
To maintain sufficient stocks of stationery and print consumables, and place orders as and when required.
To act as an ambassador for the department and promote its services.
Support RCHT by attending career events and fair to promote apprenticeships
To undertake statutory training as required in accordance with Health and Safety regulations and RCHT policies.
To ensure security in the work environment is maintained, locking doors and windows, challenging unknown persons who enter the work area.
Be responsible for reporting faults in office equipment to the appropriate contact points.
To contribute to helping us to continually improve our service and make it more efficient.
To complete the apprenticeship within the agreed timescales.
