Job summary
An exciting opportunity has arisen for a full-time, permanent Medical Secretary within our Microbiology Department. We are looking for a dynamic and enthusiastic person with a flexible approach to provide support to the Infectious Diseases and Microbiology clinical team, ensuring a first class service is delivered to our patients. The post holder will ensure all administrative processes are followed in providing a streamlined service to our patients, consultants and external agencies.

Main duties of the job
The
role primarily involves typing correspondence, managing patient appointments,
dealing with phone queries, managing clinical diaries and rotas, validating
waiting lists alongside other secretarial and administrative duties which
contribute to the efficient running of the Microbiology/Infectious Diseases service. This is a 37.5 hour post over 5 days.
Applicants
should possess AMSPAR, OCR, RSA Level 3 or equivalent typing/keyboard
qualification or have 2 years proven experience in a similar role. Knowledge of medical terminology and
experience in audio typing is desirable but not essential. Applicants will need excellent organisational
skills, a flexible approach to work and possess an empathetic nature to be able
to confidently deal with patient queries.
Level 2 numeracy and literacy skills are essential to the post and MUST be shown in your application, if
these qualifications arent listed in your application you will not be

To develop and maintain an effective and quality secretarial service to
a team of Consultant and other clinical staff, acting as a pivotal role for all
communication with patients and professional health colleagues within the
multi-disciplinary team, internal departments and external agencies as
necessary, to ensure continuity of patient care.
To comply
with the Trusts vision, values and behavioural compact.
To
triage patients in accordance with clinical guidelines and prioritise
calls/messages for Consultant as necessary
To ensure accurate and timely exchange of information
between Consultants, other medical staff and management.
To deal in a professional, tactful and discreet manner,
with sensitive and confidential matters, with patients, carers, GPs,
Coroners Office, other health professionals in the NHS, Social Services,
Police, the Courts, Postgraduate Institutes and the Royal Colleges.
To deal with patients or carers who may be distressed or
irate in a calm, sympathetic and reassuring way, especially where there may
be barriers to communication.
To relay medical information accurately as requested
to/between Consultant and patients as necessary.
To
exercise independent judgement in responding to enquiries concerning
appointments, waiting list and correspondence.
To liaise with other secretaries to ensure efficient
distribution of work.
To ensure that relevant issues regarding appropriate
changes in policy/procedures to improve service delivery and quality are
brought to the attention of the Senior Secretary.
To
deal with telephone / face to face enquiries as and when required
To speak via the
telephone or face-to-face with bereaved relatives or carers who may be
distressed or irate, arranging meetings with Consultants and assisting in the
completion/collection of death certificates should the death have occurred in
hospital.
To have an
understanding of referral to treatment and 18 week pathway, liaising with
other departments to ensure patients are seen within national guidelines. .
To
notify relevant staff of Consultant leave.
