Job summary
An exciting opportunity has arisen to provide personal medical secretarial support to a Consultant Urologist within the Urology Directorate. This role will be full-time and based at Durham Diagnostic Treatment Centre.
The Directorate excels at delivering compassionate and high-quality patient care and this role plays an integral part acting as a direct link between patients, other team members and the Consultant.
You will be responsible for managing the clinicians commitments including diaries, clinical timetables, typing letters and ensuring that Theatre lists are booked and cancelling/adding sessions. This will be a demanding but very rewarding Post, dealing with patients and staff; requiring excellent communication and interpersonal skills and a friendly and approachable manner.
You must be able to demonstrate effective organisational and time-management skills. A sound general education including GCSE English or equivalent, NVQ 2 (Business/Admin), experience of general office functionality and knowledge of IT systems/software packages are essential. You will be responsible for administrative duties and accurately maintaining electronic information, therefore good IT skills are an essential part of the role. Basic Numeracy & Literacy Skills to Level 1 or equivalent are also required, whilst knowledge of medical terminology/medical administration is desirable.
Main duties of the job
Main duties include:
Type correspondence for the Consultant and junior medical staff from audio equipment, or longhand using integrated Word Processing system and Hospital V6 system.
Maintain Consultants diary, arrange appointments and meetings on his/her behalf in accordance with his/her wishes.
Answer telephone calls, resolve routine enquiries, take messages and re-direct callers.
Promptly deal with incoming and outgoing mail including GP referral letters.
Ensure Theatre lists are booked, in the correct order and inform relevant parties of cancelled sessions.
Arrange admission of patients and Pre-Admission Assessment appointments. Maintain computerised waiting list in accordance with the Consultant's patient management intent. Maintain waiting list for Consultant to meet Trust guidelines/standards/targets.
Arrange case conferences/seminars.
Maintain general filing and retrieval system.
Collate statistics requested.
Investigation results and correspondence will be filed promptly after approval from Consultant or junior medical staff.
Ensure requests for investigations are forwarded to appropriate department and arrange investigation as requested.
Cover duties of other medical secretaries within Directorate during their absence at request of senior secretary.
Undertake other relevant duties appropriate to Grade and Post at request of Consultant or Deputy Admin Manager.
Understand Trust guidelines in dealing with complaints and irate/difficult patients.
