An exciting opportunity has arisen for a Clinic Support Secretary to work within the Paediatric Department of South Tyneside and Sunderland Foundation Trust. We are looking for a dynamic and enthusiastic person with a flexible approach to join our existing team. You will provide secretarial and admin support to the clinical teams, ensuring a first class service is delivered to our patients. The post holder will work within a small team of secretarial and admin staff ensuring all administrative processes are followed to provide a streamlined service to our patients, parents, consultants and external agencies. If you are passionate about supporting quality patient care within the NHS then this might be the role for you. There are two 15-hour posts available. One post will be predominantly based at the Childrens Centre, Durham Road, Sunderland and the other at Sunderland Royal Hospital, you may however be expected to cover other locations.

Main duties of the job

The role primarily involves typing correspondence, managing patient appointments, dealing with phone queries, alongside other secretarial and admin duties which contribute to the efficient running of the service.

Applicants should possess NVQ Level 2 / RSA II Typewriting, Word processing or equivalent vocational experience in a similar role. Knowledge of medical terminology and experience in audio typing is desirable but not essential. Applicants will need excellent organisational skills, a flexible approach to work and possess an empathetic nature to be able to confidently deal with patient queries. Level 2 numeracy and literacy skills are essential to the post and MUST be shown in your application, if these qualifications arent listed in your application you will not be shortlisted.

Transcribe confidential medical correspondence and clinic letters from audio dictation and provide to the patient

Booking appointments where appropriate <6 weeks

Negotiating diagnostic investigations and tests and communicating to patient

Negotiating admission or TCI date/time and communicating to patient

Validating the patients pathway in real time

Completing all tasks (Cashing up) clinics in real time including booking out and outcomes

To liaise with the Personal Medical Secretary and/or patient pathway Co-ordinators regarding the patients pathway and appointments and any instructions/outcomes from the clinic.

Dealing with patient queries and communication with outside agencies such as GPs, schools, health visitors, coroner, social services, other hospitals etc.

Maintain databases as and when requested
