Job summary
We are looking to recruit a 22.5-hour experienced, skilled, positive-minded, trustworthy, hardworking, and enthusiastic Scheduling Assistant who has a flexible approach to work who will provide administrative support to the Community Dental Team, ensuring a first-class service is delivered to our service users.
The successful candidate will join a team of scheduling assistants who provide essential administrative functions, whilst interfacing with clinical and administrative staff, patients and the general public. The service is fast paced, and you would be expected to carry out a variety of administrative tasks.
Candidates must be able to demonstrate they can communicate effectively with people at all levels by telephone and in person. Excellent organisational skills, flexibility and time management are also essential. Accurate data input skills are essential.
The successful candidate should have excellent keyboard skills and a working knowledge of software packages and IT systems.
You may be required to cover other reception areas at short notice when required.
Working Hours: Tuesday and Thursday 8.30 17.00 (1 hr lunch) and Friday 8.30 16.30 (half hour lunch)
Main duties of the job
Main duties of the Dental Scheduling Assistant:
- Enter patient referrals onto electronic systems
- Arrange new and review outpatient appointments
- Provide reception cover across the Dental Outpatient Services in the community, providing both direct and indirect contact with patients/carers.
- Prepare and manage dental notes for clinic appointments
- Enter referral data, make and reschedule appointments using Sensei, Meditech, and e-Referrals System (Choose & Book) information systems.
- Assist in rearranging and rescheduling patients appointments on Sensei and Meditech as requested. This requires making judgements involving facts or situations, some requiring analysis.
- Action the cancellations and reschedule of appointments resulting from the SMS/Phone Reminder Service and the Webform.
- Answer telephone calls promptly from patients and their relatives, GP Practices and other clinicians, resolving routine queries
- Organise transport for patient's e.g. ambulances, ensuring that patients are informed of pick up times.
- Responsible for maintaining an accurate filing system of patient dental notes, radiographs, referrals and other correspondence relating to the care/ treatment of the patient.
- The above tasks require sitting at a desk, using the PC / VDU and telephone for most of the day.
