Job summary

The Gastro department at Poole Hospital is seeking to recruit an experienced PA.

To succeed in this role you will need to possess good communication skills and have a passion to deliver outstanding service to our patients.

Accuracy and attention to detail are essential requirements together with the ability to multitask in a busy environment. Good team skills are also an essential requirement.

We are looking for someone who has proven computer skills, knowledge and medical terminology.

Base Location: Poole Hospital

Main duties of the job

  • Efficiently manage the electronic appointment diaryand coordinate all scheduling for consultations.
  • Provide comprehensive secretarial support, including word processing, filing, audio-typing, photocopying, and composing sensitive letters.
  • Handle complex and varied queriesfrom patients, clinicians, and external parties, offering excellent customer service.
  • Be akey point of contact for patients, answering inquiries in person, via email, and over the phone.
  • Communicate difficult, sensitive, and confidential informationwith professionalism and tact, especially when speaking with anxious or distressed patients and their families.
  • Work closely with Consultants and medical staff, ensuring they have the information and responses they need for patient care and ongoing treatment.

  • Manage electronic diaries for the Consultants.
  • Manage Consultant e-mails and action where appropriate.
  • Relieve the Consultant of administrative tasks not pertaining to clinical work whereverpossible.
  • To maintain, co-ordinate and organise appointments/meetings with staff, patients or their
  • relatives and other visitors to the hospital such as company representatives.
  • Deal with queries involving confidential documents regarding a wide variety of information
  • without recourse to others, recognising when issues should be referred and to whom.
  • Typing clinic/additional letters to GPs, patients and other Allied Health Professionals,
  • Using digital dictation when appropriate.
  • Look up, sort and file patients results.
  • Use the hospital computer system to access patient details. CRT must be always usedwhen receiving and moving notes. This is mandatory within the Trust.
  • Photocopying, faxing, scanning and general filing.
  • Be responsible for out-going post, meeting afternoon deadline.
  • Scan all new Choose & Book referrals.
  • Action Choose & Book referrals once graded send blood forms, test requests as advised by consultant.
