Job summary

Administration support to the Patient Experience Team.

The Patient Experience Team are looking for a band 3 assistant. This will be a part-time post, 15 hours per week. These hours could be worked over 5 days or condensed into 3

Working with one manager and three team facilitators, you will be carrying out routine and regular tasks, supporting teams with equipment issues, managing comments which may need a response, posting responses on the www.nhs.uk website, entering data and supporting staff on the phone.

You will be using our patient experience IT system where you will ensure "business as usual" tasks are carried out. The work is varied, busy, exciting and challenging. We are looking for a candidate with good maths and English, proven administration skills, common sense, lateral thinking, superb organisation, drive and a sense of humour

The post will be based at Sentinel House in Poole. We support front line teams in Dorset HealthCare to be "Better Every Day" by understanding how services can be improved, based on patient feedback. We are a small but dedicated team who work across the whole Trust, supporting over 450 teams in both mental health and physical health.

Main duties of the job

To work within standard administrative procedures and to seek guidance from line manager as appropriate.

The post holder will work alone for significant periods of time but will have access to support from team members and line manager in person, via phone and video links assisting.

Setting up team meetings, recording of actions through note taking and ensuring actions are progressed by the team

Responsible for data entry, simple analysis, storage of data with a regular requirement to develop or create reports and documents.

To be the first point of contact for all queries for the Patient Experience team and to resolve these where possible or redirect to the appropriate person whilst keeping good records and ensuring requests are completed

Knowledge, skills and training

Essential

  • English and maths GCSE Grade C/4 equivalent.
  • Good standard of education.
  • Good working knowledge of computer programmes (Microsoft Word, Excel and Outlook).

Job specific experience

Essential

  • Previous experience of managing multiple demands on time and conflicting deadlines.
  • Ability to collate information of reports and assist in the production of written communications to a high standard that are appropriate to the matter in hand, clear and readily understood, summarising activities and documents.
  • Ability to articulate clearly, fluently and authoritatively where necessary to individuals and occasionally small groups.
