Job summary
The Medical Workforce team consists of the sub teams; Medical Recruitment, Medical Compliance and Medical Employment Services andprovides transactional, administrative and advisory support throughout the employee life cycle. The Lead roles are the first point of contact for any general HR issues or enquiries, along with onboarding of Doctors and Consultants. The post holder will provide first and second-line specialist advice and administration across a range of activities.
There are two Guardians of Safe Working Hours for the Trust, and this role administratively supports them and is vital in identifying trends of unsafe working within the Trust.
To provide a high quality, central administrative service for the Guardians of Safe Working Hours and the Medical Workforce Team.
To adopt the highest standards of customer care in the provision of Medical Workforce services to the general public, staff and managers. To deal with escalated enquiries, dealing with or escalating to specialist teams as necessary.
To undertake a variety of administrative and support processes, accurately maintaining all associated systems and records.
Main duties of the job
To be responsible for delivering a highly effective administrative service by managing the Guardian of Safe Working Hours email inbox, identifying urgent safety issues and escalating accordingly to the Guardians of Safe Working.
Ensure all new Doctors, both Trust and Deanery are entered onto the Allocate Exception Reporting system and are issued with passwords in a timely manner. Provide advice and training on the system when required.
Calculate pay rates following exception reporting for extra duties and fines and provide information to Payroll team for processing.
Analysing data and producing reports to be circulated to local meetings; JLNC, FMM, LNC and JDF.
To have working knowledge of Doctors and Consultants' Terms and Conditions and local policies, being able to comment on the latter and make suggestions for improvements.
To be able to identify rota issues through Allocate and escalate to Medical Compliance Adviser accordingly for action.
Attend the FMM, LNC and JDF meetings providing analytical advice based on reports and answering ad hoc queries relating to Safe working, the Guardian's roles within the Trust and the Allocate system.
To identify and suggest improvements to new and existing HR Services policies, procedures, and systems. The support the implementation of any process changes.
