Job summary

We welcome applications to join the Children's Audiology Team. We are looking for a Team administrator to join our Audiology team. You will be based at Crawley Hospital but will have the benefit of working closely with the audiology team administrators based at Brighton General Hospital and Nightingale Child Development Centre. Within Crawley you will have the benefit of working closely with the clinical team and become an integral part of the team.

This is an exciting time to join our service as we are due to move to new facilities in Crawley Hospital as children's audiology is moving alongside the Child Development Centre (CDC0). This encompasses new administrator facilities housed within the CDC ensuring a continuation of the great working relationship between admin and clinical staff.

Main duties of the job

To provide a comprehensive and effective administrative service to paediatric clinical staff within the Children's Audiology Team in order to facilitate good healthcare to patients.

Liaising with clinical services and other departments, both internal and external, observing strict confidentiality and maintaining accurate records.

To have an understanding of a range of administration/office procedures and the ability to apply these appropriately to the job as required.

Specifically to this vacancy we are looking for someone who can take responsibility for recording minutes and action logs for the audiology service meetings. This development is in line with the service accreditation and training/shadowing will be available to build this role in the service.

Job description

Job responsibilities

  • To undertake general administrative duties as required, to enable the efficient running of the Childrens Audiology team participating fully as a team member. This may include undertaking any other duties at the request of the Line Manager, which are commensurate with the role. To raise concerns where necessary which may affect efficient provision of the service.
  • To work with administration colleagues in the service to provide necessary cover for annual leave and sick leave commensurate with the role.
  • Report problems as they arise, solving them if possible/appropriate.
  • Use and maintain resources efficiently and effectively, reporting damaged and faulty equipment when identified.
  • To order general stationery and office supplies as and when required
  • The work involves close contact with children with special needs and difficulties and their families; to treat everyone you encounter with dignity and respect. Recognising that people are different avoids discrimination.
  • To provide administrative support which will include typing correspondence, telephone calls, post, test results, typing minutes and assist with booking appointments.
  • To undertake Childrens Audiology local induction for new Clinical and Administration staff.
  • Prioritise own workload, ensuring urgent correspondence are managed first according to urgency and departmental guidelines.
