Job summary

We are looking for an experienced and motivated administrator to join our busy Chichester Community Admin Team!

This is to support the Community Nursing Team and multiple teams in the Chichester Area.

The successful candidate will need to deliver excellent customer service at all times in their communications with a range of professionals, referrers and patients. They should possess excellent telephone and communication skills, in order to ensure all liaison is of the highest standard.

Main duties of the job

The successful candidate primary responsibility is to support the Community Team's with their administrative needs. They will need excellent telephone and communication skills.

We're looking for applicants who can help us provide an efficient and robust administrative service; who can work to deadlines when required, and plan and prioritise their workloads independently, demonstrating initiative and flexibility.

This is a varied and exciting position and the successful applicant will be part of a busy and dynamic team.

a) To support the team in the day to day running, tasks, phone calls, referrals, scanning, taking minutes, ordering PPE and many other admin tasks.

b) Maintain and update IT and Maintenance data bases with any Team issues.

c) Keeping office systems up-to-date, devising andmaintaining efficient filing, clerical and office systems, and providing general support within the team.

d) Helping with meetings organised within the Team and writing up the notes. Attend meetings as Admin support.

e) Receive and sort internal and external mail and deal with each appropriately.

Qualifications and/or professional registration

Essential

  • General standard of education to GSCE level or equivalent

Desirable

  • ECDL Certificate
  • NVQ in Business and administration or equivalent

Experience

Essential

  • At least one year's relevant secretary/administrative experience within the last 5 years
  • Experience of dealing with patients / customers on the phone or in person
  • Experience of development and management of filing systems
  • Experience of working in a an office environment

Desirable

  • Experience of data inputting, databases, spreadsheets and System One
  • Ordering supplies and maintaining stock

Skills and knowledge

Essential

  • Good standard of organisational skills
  • Ability to communicate effectively by telephone, and face to face with patients and professionals
  • Good standard of inter-personal skills
  • Ability to be self-directed and work alone, to manage own workload and work to deadlines
