Job summary

To work in association with members of the Emergency Care Division, to ensure the efficient and effective operation of the Horsham Minor Injuries Unit, through the co-ordination and provision of high standards of reception and clerical services.

To welcome all patients and those accompanying them to the unit in a professional manner, recording all necessary information fully and accurately, and to carry out clerical duties necessary for the operation of the unit.

Main duties of the job

  1. Receives Patients and visitors to the service. Responds to queries and requests for information as directed by office procedures, guidelines and protocols. Refers complex or unusual requests to the Team Administrator or a member of the clinical team.
  2. Regularly checks on the tidiness and cleanliness of the office environment and takes action to ensure any problems are resolved.
  3. Undertakes admin tasks that are assigned.
  4. Attends team meetings within the service
  5. Formats letters, reports where necessary
  6. Carries out photocopying.
  7. Ensures incoming or outgoing post is processed promptly

a) Provides feedback about how reception and administrative procedures work in practice in the unit to help with identifying improvements.b) Books patients that attend the unit onto the computer system and makesappointments for follow up clinics. Assists with photocopying and posting of letters as required to various agencies.c) Assists new staff recruited to the reception team by demonstrating own duties and explaining procedures and standards.d) Participates in the performance development review process, and attends training courses that are mandatory and for personal development.e) Has a responsibility in ensuring the privacy, dignity and confidentiality ofpatients, relatives and colleagues is respected at all times or responsibility for the maintenance of equipment, buildings or other physical assets.
