Job summary

This post is Fixed Term or Secondment for 6 months until 31st March 2026 due to the needs of the service.

The successful candidate will provide comprehensive administrative and clerical support to the Policy & International Health Directorate.

This includes; supporting the coordination of services, such as maintenance of facilities and materials, supporting the dissemination and coordination of resources and the planning of meetings/events.

The postholder will be required to communicate and liaise with staff and members of partner organisations, produce work to deadlines whilst ensuring compliance with Public Health Wales policies.

Main duties of the job

o Support the coordination and dissemination of resources using systems such as WordPresso Process orders of resources and supplies via the procurement systemso Coordinate translation requestso Organise and support the planning of meetings, events and conferences; including booking venues and taking formal minutes, arranging equipment, preparing papers/documentation, registering delegates and arranging refreshmentso Organise and process hotel and travel arrangementso Provide a diary management service with the ability to resolve conflicting diary appointments and scheduleso Provide support to business and project processeso Managing and maintaining office systems ensuring that information is appropriately and securely stored, filed and retrievable using SharePointo Good understanding and knowledge of a full range of administrative procedures and organisational procedureso Provide a comprehensive, accurate administrative support, including drafting standard letters, editing and formatting reports ensuring a high standard of presentationo Experience and knowledge in the use of MS Office Suite including, but not limited to, Word, Excel, Outlook and Teams.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
