This post is fixed term / secondment for 6 months due to Secondment Cover.

The Welsh Ambulance Services is a leader in the delivery of emergency care within the health system in Wales. The Trust provides exceptional patient care across the whole of Wales provided by both staff and volunteers.

Our volunteers undertake a variety of roles, including Community First Responders (CFRs), Community Welfare Responders and Volunteer Car Drivers.

An exciting opportunity has arisen within the Operations Directorate for a Administrator within the volunteer service to engage with, support and provide administrative services to the regional and wider national team.

You must be an energetic and experienced administrator, who will be expected to undertake duties that promotes an efficient running of the volunteer department. Additional workstreams that enable us to onboard/recruit, train and communicate with our volunteers is a big element of this role. This will include (but not limited to) managing volunteer management systems, liaising with volunteers, supporting onboarding/recruitment with applications and processing pre-enrolments checks.

Main duties of the job

Administrators are responsible for keeping office documents organised and perform a range of tasks to support both staff and volunteers they work with. Their duties typically include:

  • Dealing with incoming and outgoing correspondence
  • Data entry, retrieval and volunteer database maintenance
  • Filing and archiving
  • Creating and managing documents, spreadsheets and presentations
  • Compiling reports
  • Managing diaries for team members
  • Scheduling meetings, taking minutes and arranging conferences and events
  • Speaking to volunteers and stakeholders to answer queries and resolve issues
  • On-boarding / recruitment of volunteers.
  • Undertake Pre-Enrolment checks for new volunteers.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
