An exciting opportunity has arisen for a Colorectal Straight-to-Test Administrator within the Surgery Department. This role is vital in the day-to-day running of the administrative and clerical functions of the Straight-to-Test process and supporting the department /Operational Managers to ensure service is delivered.

Main duties of the job

  • To assist in the smooth running of the colorectal service providing an accurate real-time master schedule for specific Consultants.
  • To perform regular data quality and validation duties to maintain clean data.
  • To assist in the day-to-day running of administrative and clerical functions of the Straight-to-Test process.
  • Ensure a helpful and efficient service is provided to patients and staff by supervising and participating in the day-to-day activities of the department. Liaising with colleagues for coordination of diverse aspects of work and supporting team members through offering advice, guidance and support as appropriate.
  • Assist the Operational Support Manager/Operational Manager with any requirements to ensure service is delivered.

Job responsibilities

Specific Duties

  • To assist with all new STT referrals, adding to the spreadsheet
  • Ensure the referral has been entered correctly on the hospital system (PAS) and patients are discharged in a timely manner
  • Monitor the STT PTL
  • Ensure all referrals are monitored and tracked on the spreadsheet ensuring their whereabouts at all times

Scheduling Duties

  • To provide an efficient and effective clerical support to facilitate patients accessing all clinical services provided by the department
  • To monitor appointments for the team to book as required due to schedule amendments
  • Identify and monitor all outstanding referrals/results are dealt within in a timely manner
  • Uploading of documentation after appointments
  • Managing spreadsheets inputting data
  • To create and set up Nurse Led clinics
  • Maintaining EReferral
  • Identify and monitor all outstanding referrals/results are dealt with in a timely manner and ensure pathways are closed in a timely manner

Validation duties

  • To aid with monitoring of specialty activity by helping to produce statistics for central use
  • To assist in the achievement of the waiting time targets by working with the Managers to develop process

General duties

  • To ensure records and information are easily accessed, accurate and that actions are taken at an appropriate time
  • To ensure all communications are accurate, timely and well presented in accordance with the corporate identity
  • To ensure patients' activity is protected by maintaining confidentiality when dealing with staff, patients, and the public
  • To scan relevant documentation onto the relevant systems
