Job summary

We are seeking a self-motivated, enthusiastic and flexible individual who will carry out the role of Estates Monitoring Assistant within the Hard FM Team. If you are trade qualified in building services, patient and customer focused, with a passion to succeed, while also seeking a role in healthcare, this could be a suitable opportunity for you. The Estates and Facilities Directorate consider this to be a key position and are looking for someone with real passion for the role to provide key support in estates matters across the Trust and monitoring of our PFI contract. We require a strong team player, who is proactive, flexible, and generous in sharing their knowledge with others, willing to expand their technical and engineering knowledge and skills through training and development and has a real commitment to take the quality function forward and contribute to the Directorates success. You will also have experience of working within a customer focused environment and maintaining effective professional working relationship with internal and external colleagues. You are required to have a general understanding ofengineering or construction principles and will be expected to develop their knowledge of healthcare facilities maintenance and engineering gained through on the job training and general experience. Training opportunities will be made available according to the background of the right candidate.

Main duties of the job

The role of Estates Monitoring Assistant is to provide support to the Hard FM service ensuring a safe, efficient and well-maintained estate, monitoring the performance of the Estates Hard Facilities Management (FM) services under the Private Finance Initiative (PFI) contract and our campus portfolio. You will be required to undertake planned and random auditing, using audit tools where necessary, of the Hard FM services provided in Trust commissioned contracts, including undertaking any required investigations and inspections of the facilities. You will be required to use this information to input into the Trust reporting governance process. You will assist and lead where necessary, on the preparation of data in support of contract variations. The Estates Monitoring Assistant will have excellent communication and inter-personal skills, together with the ability to work as part of a team to undertake a wide range of tasks and to comply with reasonable requests and instructions in order to accommodate the needs of our customers. We will assist you to develop as an individual by taking personal learning responsibility.

The prime focus for this position is to monitor the performance of the Estates Hard Facilities Management (FM) services under the Private Finance Initiative (PFI) Contract. Services that are included in the PFI contract are: Car Parking, Catering, Domestics, Grounds, Pest Control, Portering, Post, Receipt and Distribution, Security, Telecommunications, Linen, Waste, Helpdesk, Housekeeper and Estates. Undertake planned and random auditing of the services. Undertake investigations and inspections of the Estates facilities. Assist in the review and implementation of systems that will support continuous improvement of services. Key Responsibilities: Monitor all Estates Hard FM services in respect of quality, compliance, and sustainability, and provide reports to various Trust groups and stakeholders. Evaluate and analyse current service delivery of the Estates Hard FM services against internal service level agreements and in line with the PFI output specifications and contract monitoring agreements. Undertake scheduled inspections, as well as targeted visits, to ascertain the condition and compliance of the Estates facilities. Assist with the review and development of a Estates Facilities monitoring system with the PFI partner through preparation of audit tools. Assist in maintaining a Estates Facilities monitoring database. Provide input to the quality monitoring system as an integral part of the service specifications. Provide input to the reporting system for the Trust as an integral part of the PFI project. Prepare data in support of contract variations, which will feed into the overall cost for the service. Gather PFI workload data, which will support contract performance and financial variations. Participate in Estates Facilities monitoring meetings as required. Provide appropriate advice to Trust staff with regards to the Estates Hard FM Services. Analyse and interpret PFI contractors data records and reports. General administration duties. Develop as an individual by taking personal learning responsibility. To undertake any other duties commensurate with this banding as required by the Trust.
