Job summary

UHB's Pensions Team are recruiting for an enthusiastic and hardworking Pensions Clerical Support Officer to join their incredible Pensions Team based in Five Ways.

The 20 staff that make up our Pensions Department not only have the responsibility of providing pension services to 25,000 staff at UHB but are also responsible for 25 other NHS Trusts.

As a Pensions Clerical Support Officer, you will support our team by being assigned a section of NHS Trusts that you will lead in the day-to-day processing and inputting associated with providing and maintaining an excellent pension service.

You will support your allocated members, working in conjunction with the rest of the team to ensure the efficient delivery of the service, including dealing with any queries that may arise via both phone call and email.

Previous NHS Pensions experience is desirable but not essential as there will be training provided for the successful candidate; we can teach all you need to know...just be a sponge, there is a lot to take in!

You will be an organised and efficient person who is used to working to deadlines; able to prioritise your own workload, ensuring all tasks are completed on time. You will need to have excellent communication skills with a calming and pleasant telephone manner. The ability to understand complex legislation, and a sound knowledge of IT packages such as Word, Excel and Outlook are essential.

Main duties of the job

*To be responsible for the distribution and scanning of post.

*To recognise where any documents are incorrectly completed and return to the sender with details.

*To save and register correctly completed documents received.

*To provide the relevant forms relating to pension claims, within the required timescales, on receipt of a request.

*To complete, assist with and log ill health retirement application form documentation, within required timescales, on request from HR.

*To be responsible for monitoring refund forms, ensuring pension records are amended correctly.

*To action NHS Pension refund applications, within required timescales, for members of staff who have left the NHS pension scheme and have requested and are eligible to receive a refund.

*To respond to phone and email queries from employees and NHS Pensions in an accurate, efficient, professional and timely manner; seeking advice as necessary from Pensions Officers or Team Leader/Manager.

*To retrieve information from NHS Pensions in an effective and efficient manner as required. To use information found to complete forms or update records as relevant.

*Responsible for the production of standard cover letters/emails to accompany the issue of pension documentation; ensuring electronic files are updated with copies.

*To view/manipulate data in the Pension/Payroll system to identify previous earnings details for pensions calculations as required.

*To be responsible for maintaining accurate files of documentation.
