Job summary
This is an exciting opportunity to join the Executive Administration Team at Heartlands Hospital, working closely with the Senior Administrators and Executive Assistant to provide a comprehensive administration and secretarial support for the Senior Leadership team and Clinical Delivery Groups for Surgery and Medicine.
Your responsibilities will be wide ranging and varied, including the sourcing of venues and meeting rooms for a range of meetings, photocopying, laminating and collating papers for meetings.

Main duties of the job
To provide a comprehensive and full range of administration / co-ordination service, working in conjunction with colleagues, service users and stakeholders to provide an efficient service
To provide a professional secretarial service to managers; to include collating and printing correspondence, reports, presentations and other documents
To support with the management of manager's diaries / electronic schedules on their behalf; operating a robust bring forward system
Knowledge and use of various Microsoft Office Software programmes including Outlook, Word, PowerPoint, Excel to produce letters, presentations, reports and other relevant correspondence
To undertake typing which may include touch type from audio and / or copy type from written documentation which may include letters, emails, reports and any other correspondence as required
To distribute and prioritise incoming mail, using judgement and experience to decide which documents require urgent action and which may be passed directly to other areas for action and information.
Receiving and dealing with telephone enquiries as appropriate.
Any other duties as directed by the Executive Assistant and / or the Senior Management team
