Job summary

The post holder will provide an efficient and comprehensive administrative support service for the AAA Screening Programme Team working with the Administration and Management Team to deliver excellent care to our patient cohort. Working with tight deadlines, supporting the team working in the wider community to ensure a smooth delivery of service. Communicating with patients and GP practices and offering a high level of organisation at all times, prioritising work to ensure deadlines are met. Along with 4 GCSE's at Grades 9 - 4 (or equivalent), you should have previous experience of working in an administrative role. You should have sound knowledge of software programmes such as Microsoft Office and experience of using data systems.

Main duties of the job

To assist in the development and day to day running of the AAA Screening Programme.

*Planning and organising appointments and clinics to ensure the most effective use of time and resources, as relevant and appropriate to the screening programme.

*Contact patients and arrange and manage appointment system for the screening programme. This will include negotiating re-arrangement and admissions/appointments over the telephone, overcoming any barriers to understanding that will arise in these circumstances.

*To deal with anxious patients and their relatives with tact, patients, persuasion and discretion. To contact patients when there is a need to provide improved understanding of the implications of a case. Ensure that these types of complex communications are accurately recorded in the office message book.

*Maintain and update register of patients with AAA being screened by the service.

*Manage the software system for audit and call/recall purposes, including nurse assessments.

*Circulate results letters to the appropriate GPs, alerting them to abnormal measurements and to patients who have failed to attend appointments.

*Ensure the provision of a fully comprehensive secretarial and administrative service to the screening programme.

*Keep the Programme Manager informed of the progress of work and any difficulties arising. Take action on complaints, seeking advice where necessary.

*Organise, respond to and field work on behalf of the Programme Manager, using own judgement
