Job summary

The Mid Essex Recovery College is a brand new service that will provide a safe space for people to learn new skills, expand on existing ones, and attend courses developed to support mental health recovery. Our courses are all co-produced by experts by experience (individuals with lived experience of mental health), as well as individuals with professional experience of working for mental health services.

Our admin will be the first contact individuals have with our services. These are important roles at the heart of the high-quality care we provide.

Main duties of the job

To undertake administrative and secretarial functions related to the roles and responsibilities of the Mid-Essex Recovery College (MERC).To provide administrative support for the communications, marketing and events programme of the MERC. To support the organisation and administration of events and college courses planned by the MERC.The post holder must possess detailed knowledge of MS OFFICE 2010 (including word, PowerPoint, Excel and Email) to work confidentially and professionally at all times.The post holder will be required to operate to a very high standard and manage their own workload without supervision. The post holder will need an organised but flexible approach to their work and to be capable of working within a busy and demanding environment; have excellent communication and listening skills, including dealing with service users, carers, and staff/visitors of all levels whilst maintaining a high level of confidentiality. Some basic conflict resolution skills are essential.To promote, develop and embed the principles of recovery orientated practice across the organisation.

To lead on and establish administrative processes that supports theMERC To carry out a range of administrative tasks and be able to provide coverfor other team members as and when required. To provide efficient and professional administrative support to MERCteam, this will include managing course registration, sending out of pre course information and dealing with questions and queries both in personand over the telephone. The role will also include managing the roombookings and diary management. To organise meetings (and take minutes), events, workshops and coursesincluding room bookings, ordering of hospitality, facilities and equipment,checking arrangements, preparing materials, taking registration, solvingorganisational issues on the day and assisting in the recording andreporting of the events. To act as the first point of contact for the service and handle telephoneand email enquiries from external bodies, Provide staff, clinicians, serviceusers and relatives. The post holder is required to exercise judgmentabout how to handle such calls. To work with the Recovery College Operational Lead to ensure thatintranet and website pages are up-to-date. To work with the range of MERC trainers to develop support materialssuch as presentations and packs for promotional purposes. To provide admin support for the production and distribution of the college prospectus (working closely with the communication team) to ensure that course listings and case studies are up-to-date. To undertake marketing and communication tasks as allocated by theRecovery College Operational Lead. To work with the Recovery College Operational Lead and thecommunication team to ensure consistent messaging, branding andcommunications standards across all MERC communications andmarketing activity. To support the Recovery College Operational Lead in managing theMERC social media accounts. To undertake service promotion activities with colleagues. To be responsible for maintaining information systems in order to produce information as required. NP746 Recovery College Administrator B4 To develop and keep monitoring systems to ensure that all peopleundertaking courses at MERC are accounted for. To assist the Recovery College Operational Lead and Recovery CollegePeer Support Lead in producing reports which are circulated bothinternally and externally. To ensure effective communication within the team and rapidly analysesituations as they occur, making personal judgment about what level ofsenior management to escalate serious matters To organise incoming mail and distribute appropriately, acting on urgentmatters. To ensure filing systems are maintained to a high standard and with duerecognition of the need for confidentiality and security. To ensure maintenance of office equipment and to have responsibility forthe storage, updating the inventory and signing in and out of MERC equipment. To prioritise own workload ensuring that relevant deadlines are met. To order training materials and office supplies.

OTHERThere may be a requirement to undertake other duties as reasonably required to support the organisation, which may include work at other organisations managed locations. This may also include work outside of the postholders normal sphere of activities, including functions not detailed within this job description or working within another location, environment or NHS Trust. However, the postholder will not be required to undertake any function for which he or she is not trained or qualified toperform. Normal health & safety procedures would continue to apply andaccountability remains with Provide.
