Job summary

An opportunity has arisen to join the team at Health Point Top Valley as a Band 2 Receptionist. This is a part-time position working Monday, Tuesday and Friday 8.30am 17.00pm.

Each day is varied, the role requires you to prioritise, multitask and use your own initiative with matters that arise.

Main duties of the job

You should possess good reception, organisational, communication, IT and Admin skills. SystmOne and scanning experience would be an advantage, but training will be given. Attention to detail and the ability to prioritise your own workload is essential.

You must be confident in completing tasks using your own initiative without supervision, supporting wider building issues and have a good understanding of confidentiality and data protection.

The successful candidate will need to be flexible to cover and may need to work from alternative sites across the Nottingham CityCare area.

Job responsibilities

Job Purpose

To provide:

  • A welcoming and friendly reception service to clients, staff and building users
  • A focal point for general enquiries
  • A comprehensive administrative and clerical service to support the running of the building and reception processes.
  • Work effectively as part of a busy administrative team

Dimensions

  • To requisition supplies and stationery for the department.
  • To ensure team members are aware of own role and any new information for cover arrangements.
  • To ensure awareness of systems and processes and keep up to date with any changes.
  • To actively participate in Nottingham CityCare Partnerships mandatory training and team specifictraining.

Key Responsibilities

  • To provide a welcoming and professional reception service for clients, staff and building users.
  • To undertake general clerical duties including but not limited to the collection and distribution of mail, photocopying, scanning.
  • A comprehensive administrative and clerical service to support the running of the building and reception processes.
  • To have good IT skills, including a good working knowledge of Microsoft applications to RSA 11 or equivalent standard. Knowledge of SystmOne advantageous but not essential.
  • To plan/organise work using own initiative within set departmental parameters and ensure electronic records are maintained and up to date.
  • To accurately collate and input data and produce statistics as and when required.
  • To work effectively as part of a team to provide cover for other administration staff when required and to be flexible to meet the needs of the service.
  • To order stock and non-stock equipment and to maintain stock levels of stationery and PPE stock.
  • To ensure Health & Safety Procedures are followed and incident forms are completed accordingly. Report and log any office faults of service equipment.
  • To be aware of the importance and sensitive nature of information and maintain strict confidentiality in all aspects of work in line with CityCare Policies and the Data Protection Act.
  • To ensure any changes within the service are understood and complied with appropriately and are communicated to the relevant parties.
  • To provide mentoring and support to new staff.
  • To report any Safeguarding concerns to the relevant department.
  • To co-ordinate and update electronic room bookings.
  • To provide support to the IT Manager in covering a variety of IT functions therefore knowledge of IT systems and mobile phones would be an advantage.

  • To undertake the day to day functions of a busy reception, dealing with and resolving face to face and telephone enquiries. To record telephone messages in writing and act promptly if urgent responses are needed.
  • To co-ordinate and update electronic room booking system.
  • To undertake any other duties that may be reasonably required.
